Microsoft 365 will occasionally have issues with availability which will affect the following features within FYI:
Creating Office documents (Word, Excel and PowerPoint)
Automatic editing of Office and other documents (Word, Excel, PowerPoint, PDF etc)
Previewing all documents and emails from the FYI document drawer
Reading all documents and emails
Other features across FYI will be unaffected and still available to users such as:
Creating, previewing and editing phone call, file note and meeting records
Navigating and searching across the app through groups, clients and jobs
Task management
Auto and manually filing emails
Depending on the nature of the outage, creating and sending emails may still be available.
Temporary Xero Login
In the event of an outage when Microsoft 365 is offline, there is an alternate URL that can be used to access FYI. Refer to Alternate Xero login for FYI.

You can check the status of any Microsoft 365 outages from both their status site and X (formerly Twitter):
We monitor these closely and will alert FYI Admins where appropriate.
Alternative ways to access documents
If team members urgently need to access or edit an affected document such as Word or Excel, then they can:
Use the Export function to save the document locally. Refer to Exporting Documents.
The document will be downloaded on their computer where they can view or make changes if required.
To upload changes, drag and drop into the Upload section of the FYI drawer of the document. Refer to Uploading a New Version of a Document. The Upload section is only available if the document is not currently checked out.
Please note the following important warnings:
This manual approach to exporting documents overrides the exclusive editing feature of FYI.
There is a risk that if two or more users are making changes at the same time, changes may be lost although the uploads are automatically versioned.
