Process History provides an audit record of Automation Processes that have run in FYI. Use Process History to check process statuses, review individual steps, identify errors or warnings, and manage processes that require attention.
Process History is available for all processes, for an individual process, or from the relevant Client, Job or Employee workspace.
Viewing Process History
You can access Process History from the following locations:
- All processes: Select the History tab from Automation, or select Process History from the Automations Quick Access menu.
- Individual process: Open the process configuration from the Processes tab in Automation, then select the History tab.
- Client: Open the Client - Process History tab.
- Job: Open the Job - Process History tab.
- Employee (Elite plan only): Open the Employee - Process History tab.
The History tabs are available to FYI Admins and users with the relevant User Group permissions for Automations, and if accessing the Employee workspace, relevant Employee permissions.
If Client Security is enabled for a client, activity relating to that client is only visible to users with access to the client. This includes Automation Processes and Bulk Updates run using an Automation Process.
Viewing history for all processes
- Select Automation from the FYI menu.
-
Select the History tab.
-
By default, Process History displays processes with a Started date within the past seven days. To change the date range, hover over the Started column heading and select the Filter icon.
- Update the date range using the available fields, or select Clear to remove the filter.
Viewing history for an individual process
- Select Automation from the FYI menu.
- Select the Processes tab.
- Select the cog icon for the relevant process to open its configuration.
-
Select the History tab.
Process History statuses
The Status column shows the outcome or current state of each process execution.
| Status | Description |
|---|---|
|
Stopped |
The process was stopped while running. It can be retried or run again. |
|
Progress |
The process is in progress. It may be waiting for a blocking task to be completed or a Delay step to finish. |
|
Success |
The process has completed successfully. |
|
Error |
An issue requires attention and is preventing the process from completing. |
|
Warning indicator |
A yellow exclamation mark appears alongside the status when at least one step contains a warning. |
If a process has a Progress status, select the history entry to check why it has not completed. For example, a blocking task must be completed before the process continues. If the task is rejected, the process remains in Progress. A Delay step may also pause the process for a specified number of hours, days or weeks.
A process may also remain incomplete if it cannot find a required job or document. In this case, you may be able to skip the step or select the required item to allow the process to continue.
To find executions containing warnings, select Show all Executions with Warnings from the toolbar. You can then select an entry to review the warning details.
Using the Process Activity drawer
The Process Activity drawer displays information about an individual process execution, including the steps performed, their completion times and any errors or warnings.
-
From Process History, select an entry to open the Process Activity drawer. Selecting a linked client name opens the Client workspace. If the process name is a hyperlink, selecting it opens the process configuration instead of the drawer.
- Review the individual steps to check their status and completion times.
-
If the process created an item, such as a document or task, select the link to open it.
Managing processes
Process History provides actions for managing individual process executions. The available actions depend on the status of the selected execution and are displayed in the toolbar.
| Action | Description |
| Retry | Resumes a stopped process from where it stopped, or retries failed steps without repeating steps that previously succeeded. |
| Run again | Runs the entire process again from the beginning using its current configuration. If the original process ran for a specific client, running it again uses that client. |
| Activity Link | Copies a link to the selected history entry, which can be shared for support purposes. |
| Skip & Continue | Skips a step and allows the process to continue. If later steps require information from the skipped step, you may need to create or select the required information first. |
| Stop | Stops an individual process execution that is currently in progress. |
You can also right-click a process to display the available actions in a pop-up menu. Right-clicking a Client or Job provides an additional option to open its Process History in a new browser tab.
Skipping a process step
The Skip & Continue option may be available when a process step cannot be completed. The options depend on whether later steps need information from the step that encountered an error.
When later steps do not depend on the skipped step, you can select Continue to Next Step. Otherwise, you may need to create or select the required information before selecting Save & Continue to Next Step.
Skipping a step does not perform the action configured for that step. You may need to complete the action manually. For example, if you skip a Create Email step, you may need to create the email manually.
The detailed Skip & Continue procedure explains how to select an existing item or create the required item manually before continuing the process.
