Issue
When configuring New Collaborate and selecting a SharePoint site, or running a New Collaborate Status Check, the following warning is displayed:
- FYI-2208 Multiple Document Libraries detected. Guest users may be granted access to additional Document Libraries not intended for external users.
Cause
Using a SharePoint site with multiple document libraries is not supported, as New Collaborate can only control access to the Document Library selected in the New Collaborate app settings in FYI.
Where multiple libraries are detected, such as when an existing site is selected in the Collaborate app, this can result in visitors to the site having access to libraries that the practice does not intend for guest users to access.
Click the Status button to view the affected Document Libraries in the SharePoint site selected for Collaborate. Only "Documents" should exist.
Solution
To ensure secure guest user access to documents, you should create a new SharePoint site exclusively for New Collaborate to ensure only the Documents Library exists in the site. Refer to Create a New Client Collaborate Site (New Sites only).
Remove other libraries from the Collaborate site if additional libraries were added after the site was created. The error will no longer display when additional libraries are removed.
Note: It is recommended that you discuss this with your IT before proceeding.
