Changing your practice management software shouldn't be a massive undertaking - nor should it be restricted to the end of a month or financial year.

We have adopted our successful document management onboarding process as the basis of the Elite Onboarding - a process that has successfully migrated thousands of practices to FYI. We have used a similar approach for Elite to make the transition easy and seamless for you and your team. 

This Guide to Implementing FYI Elite covers everything you need to know to get the power of FYI working for you.

Our Elite Onboarding Approach

Our Elite Onboarding approach is guided by the prerequisite that your practice is already using FYI. We recommend that practices be live in FYI for three months before upgrading to Elite. We have found that the transition is easiest and most successful for practices that are familiar with FYI's document management features, as these features are widely used as part of Elite. 

We know that occasionally practices will be unable to wait the three months for reasons outside of their control and will need to migrate their documents and practice management at similar times. In these instances:

  • Our highly trained onboarding team will prioritise your document management migration while discussing your practice management needs.
  • Once your document migration is complete and your team are live in FYI, the Elite Onboarding project will kick off. The initial components of your Elite Setup can be completed quickly with little disruption for your team. Our Consultants are well-equipped to discuss and provide solutions for minimal impact on your team.

Choosing the Right Elite Onboarding Journey

Every practice is unique, and so is your onboarding experience. Discover which Elite onboarding journey best suits your practice, taking into account your setup, team size, and approach to adopting FYI. Whether you want to move quickly with minimal guidance or prefer hands-on support, there’s an onboarding plan to suit your team.

FYI offers three Elite onboarding options:

Some practices will have complex requirements that fall outside of the three onboarding approaches that FYI offer. For details on whether this is best suited for your practice, refer to Engaging an Implementor.

After reviewing the onboarding options outlined above, if you're still unsure which approach best suits your practice, please contact our Client Success Team. They'll assess your setup and recommend the best path to upgrading to the Elite plan.

Important Note: For new practice to FYI, please reach out to your FYI New Business Manager for more information on the Elite plan.

Self-Onboarding

Self-Onboarding

Practices can choose to onboard themselves to Elite. This option is available to existing practices that want to implement new efficiencies and transition fully to the cloud with minimal support.

Self-Onboarding to Elite is best suited for practices that:

  • Have fewer than 15 users.
  • Are moving their practice management system from Xero Practice Manager (XPM).
  • Are already familiar with FYI's core features and are confident in managing the Elite setup process independently. 

When choosing to self-onboard, practices should expect the following:

  • Access to all essential resources and setup guides in the FYI Help Centre.
  • The flexibility to progress through the Elite Onboarding Wizard at your own pace.

Self-onboarding is suitable for practices that have the internal capacity to manage the transition. If your practice meets the Self-Onboarding criteria but requires additional support, you can opt for the Assisted or Concierge Onboarding options.

Assisted Onboarding

Assisted Onboarding

Choosing the Assisted Onboarding approach is ideal for existing practices that want to work through the setup independently and receive expert guidance from an FYI Client Success Consultant throughout the process. 

Assisted Onboarding to Elite is best suited for practices that:

  • Are integrated with:
    • Practice Sync and have fewer than 15 users, or
    •  XPM practices and has 16-59 users.
  • Would like guided support during the setup and configuration process.

When choosing the assisted onboarding approach, practices should expect the following:

  • Guided configuration to ensure your platform is set up with your workflows.
  • Collaboration between your project team and an FYI consultant, in the form of structured meetings.
  • Support with understanding key features and best practices.

If your practice meets the Assisted Onboarding criteria but you would like additional support, you can opt for the Concierge Onboarding approach.

Concierge Onboarding

Concierge Onboarding

Choosing the Concierge Onboarding approach is ideal for larger practices or practices that wish for a more strategic and guided approach to the onboarding process. This approach includes additional check-ins to the Assisted onboarding approach.

Concierge Onboarding to Elite is best suited for practices that:

  • XPM Practices: have 60+ users, or
  • Practice Sync: have 15+ users.
  • Have multiple teams or divisions
  • Looking for highly tailored implementation support

When choosing the concierge onboarding approach, practices should expect the following:

  • End-to-end onboarding and implementation guidance with an FYI consultant, in the form of detailed meetings.
  • Personalised training for your team
  • Deep configuration support to ensure FYI fits your unique workflows.

Engaging an FYI Implementor

There are practices that have more complex requirements that fall outside FYI’s three standard onboarding plans. Practices may need to engage an FYI certified implementor to guide their onboarding journey.

Practices that fall into one or more of the following categories should contact an implementor to assist with their Elite journey:

  • Operate multiple XPM platforms that need WIP, Client, or Job consolidation before importing to FYI
  • Use Practice Sync with FYI Jobs enabled
  • Connected to FYI via MYOB Practice Management (formerly GreatSoft), Iris Practice Sync, or use an Unplugged FYI
  • Require assistance with Practice Xero Ledger setup
  • Practices implementing a full tech stack alongside FYI
