A recent Microsoft change in their Graph API resulted in the New Collaborate SharePoint template not being applied when creating a SharePoint site from FYI.
This template featured a Documents List, a key element required for guest users that have been shared specific documents only (instead of access to the entire folder). This removed the need for guest users to rely on Attachment Links sent via email.
To display the Documents List, an FYI Admin will need to select one of the following options:
- Use Practice Activity to reapply the template (recommended)
- Manually implement the Document Library web part (if the site has been customised)
Note: FYI recommends customising the New Collaborate SharePoint site to suit your practice brand guidelines. Refer to Customising your New Collaborate site on SharePoint.
Use Practice Activity to reapply the template
If the default New Collaborate SharePoint theme was unable to be applied at the time of creating the site, you will be able to retry adding the template to the site.
- An "Action Required" entry will be added to Practice Activity, with the details "Sharepoint site design failed.
- Click on the row to display the drawer.
- Click Retry to reapply the design.
Refer to Practice Activity.
Manually implement the Document Library web part
If your New Collaborate SharePoint site has already been customised, you can manually add the "Document Library" web part to display recent documents.
This web part is necessary so that clients who have only had specific documents shared with them (and not added to the Sharing Settings in FYI) will be able to see a list of documents shared with them. As documents are shared with clients using New Collaborate, the document will be added to the list.
This reduces the need for the client to rely on Attachment Links in emails.
Refer to the section "Add Recent Documents Home Page Web Part" of Customising your New Collaborate site on SharePoint.
