The FYI Practice Management Sync App allows you to select your Practice Management Source. This ensures you will only synchronise data from your preferred source, perfect for when you're migrating from one Practice Management solution to another.
If you don't have a source selected, data won't be synchronised with FYI and an Alert will be displayed in Practice Activity. Refer to Practice Activity.
Note: For practices integrated with Xero Practice Manager, where FYI is selected as the Practice Management source, regular synchronisations with Xero Practice Manager will still occur. Refer to Synchronising with Xero Practice Manager where FYI is enabled as the PM Source.
Note: The MYOB migration to FYI Practice Management is currently in Beta. To join the Beta, please contact Support.
Select a Practice Management Source
To select your preferred Practice Management Source:
- In FYI, click the Automation menu option.
- Click the Apps tab.
- Locate the Practice Management Sync app tile and click the Settings cog icon.
- In the Practice Manager drop-down, select your preferred Practice Management solution. The options selected will be displayed as per your connected Practice Management solutions.
Note: Once this option has been set to Xero Practice Manager, the field will be disabled and cannot be changed. - Click Save.
- A confirmation message may be displayed. Click Yes.
- An event will be added to Practice Activity to confirm the source was changed.
Selecting FYI as the Practice Manager Source
Practices on the Elite plan have the option to move to FYI as the Practice Management source. Once selected, the synchronisation frequency with your legacy Practice Management source will be adjusted, and some features within FYI may be modified.
If changing from a Practice Sync integration (MYOB, APS, CCH Central, or IRIS) to FYI, a prompt will be displayed to remind users to disconnect and uninstall the Practice Sync app. Refer to Disconnecting Practice Sync integrations. When FYI is enabled as the Practice Manager source, FYI becomes your source of truth for updating existing data.
Once FYI has been selected as the Practice Manager source, the following settings will be updated:
- The Lock Time and Disbursements option will be enabled for the Completed Job State, to prevent time and disbursements being created for completed jobs. This option can also be enabled for other Job States as preferred by the practice. Refer to Managing Job States.
- The FYI as Primary - Client Maintenance option will be enabled, so that FYI becomes your source of truth for client data. Refer to Synchronising with Xero Practice Manager where FYI is enabled for Primary Source of Client Data.

XPM Workflow Jobs will be converted to FYI Workflow Jobs. From that point on, all Workflow Jobs are created and maintained directly in FYI, and will not be linked to tasks in Xero Practice Manager. An alert will be displayed in Practice Activity to show once jobs have been converted. Refer to Workflow Jobs and Practice Activity.
Note: If using Recurring Jobs in Xero Practice Manager, only the Billing Job will be synchronised to FYI. We recommend using an Automation to streamline the process of creating recurring Workflow Jobs in FYI. Refer to Setting up Custom Processes and Process Step Details - Creating and Updating Jobs.
- For practices migrating from MYOB AE as their legacy Practice Manager source:
- Migrated time entries with an unbilled time balance, will be split into new time entries. These time entries will include in their description "Conversion time entry" to ensure these are easily identified. Refer to Displaying and Updating Time and Disbursements.
- Invoices with an Awaiting Payment status in FYI, will be created as a new invoice in Xero Ledger. Refer to Migration of Invoices from MYOB to FYI and Xero Ledger.

Changing Source from FYI to Xero Practice Manager
If changing the source from FYI to Xero Practice Manager, features available on the FYI Elite plan may no longer be available.
