FYI monitors both the Inbox and Sent Items folders in Outlook. If you move an email to a different folder, so it is located outside of these folders, FYI is not able to set the 'Filed in FYI' category on these emails.
The following steps are an example of who you can move emails to a different folder but still show them with the 'Filed in FYI' icon in Outlook, for example if you are CC'd in any emails and you do not want to store these in your Outlook Inbox.
- In your Outlook, create a rule by right-clicking over an email and selecting Rules then selecting Create Rule.
- Click Advanced Options.
The Rules Wizard displays. - In the top panel Step 1: Select Condition(s), checkmark, for example, 'where my name is in the CC box'
Or, if you want to set up the rule for emails sent directly to you, you would checkmark 'where my name is in the To box'. - Also, in the top panel Step 1: Select Condition(s), checkmark 'assigned to category category' then
Then, in the panel Step 2: Edit the rule description, click on the category link,
then checkmark Filed in FYI in the Color Categories pop-up and click OK. - In the Rules Wizard, click Next.
- In the top panel, Step 1: Select Action(s), checkmark 'move it to the specified folder'
- Then, in the panel Step 2: Edit the rule description, click on the specified link,
then checkmark the relevant folder in the Choose a folder pop-up (or click New to create a new folder) and click OK. - In the Rules Wizard, click Next.
- If there are any exceptions, select these as relevant.
- Click Next.
- Enter a Name for the rule, for example, "Move FYI Filed Emails".
- Checkmark 'Run this rule now on messages already in 'Inbox' to have the rule review existing emails and move them (or, to have the rule apply to only all new emails, leave this unchecked).
- Checkmark 'Turn on this rule'
- Click Finish.
- Click OK for the message that states Outlook must be running.
