My Time - Calendar is now available to all practices on the Elite plan, providing users with a calendar-style view for managing their time entries. Users can choose between Day and Week views, create and edit entries directly from the calendar, and drag and drop to reorder time entries efficiently. In addition, quick actions, flexible time formats (start/stop or fixed time), colour-coded time types, and customisable time increment views make time tracking simpler and more efficient from the Calendar view. Refer to Announcing My Time – Calendar.
- The integration with BGL CAS 360 is now available for UK practices, offering the daily import and filing of completed documents, annual statements and resolutions for matching clients. To get started, an FYI Admin or user with Automations permissions will need to connect the BGL integration from the Automation - Apps list, and activate the Corporate Documents & ASIC Statements - Import and AutoFile process. Refer to Announcing the new Integration with BGL for UK practices.
Enhancements

We have made several enhancements to managing Custom Fields in FYI to centralise control and eliminate errors. Custom Field definitions (created in FYI or synchronised from XPM) can now only be deleted from Practice Settings if they are not currently used:
- in an Automation process filter,
- filtered within saved views, or
- used in a Merge field in a process step.
If an attempt to delete the Custom Field definition is made, a warning message will appear displaying the affected view or automation, with direct links for easy review.
When a Custom Field definition is successfully deleted, an entry will be created in Practice Activity, with details of the custom field name, along with the user name and the time the field was deleted. A new Activity section has also been added to the Custom Field drawer when selected from Practice Settings. Refer to Managing Custom Fields.
- For practices integrated with Practice Sync, we have limited Practice Activity to display an alert only once a day when synchronised users are missing a display name or email address. Refer to Error FYI-2272 "No user display name or email for (user)."
- We have made enhancements to the FYI Migrate App, to ensure that Windows shortcut files (.lnk) will be excluded from the migration. Refer to What Data is Migrated into FYI?
- For Implementors, we have expanded the list of formats used to automatically match the Year category when importing documents. Refer to Implementors: Live Import.
- For practices on the CSV Import Beta, when importing a CSV file, the first row of data will be automatically set as the column headings, and displayed as read-only in the Automation Filter's "Key" column. Refer to Automation Process CSV Data Import (Beta).
For practices on the Elite plan:
- When an Automation Process includes an Update Job step that attempts to change the Job State to Cancelled, Completed or Archived, the step will be prevented from being saved if the selected Filter view contains both Billing Jobs and Workflow Jobs. Individual processes with separate Job Views filters for each Job Type will need to be created. A warning message will be displayed in both the Update Job step drawer and Action step. Refer to Process Step Details - Creating and Updating Jobs.
- When an invoice is approved in FYI, changes to the client's Postal and Physical address details in FYI are now synced to the Billing and Delivery address fields in the Xero Ledger contact.
Note: The first time an invoice is approved in FYI for the client, a Xero Contact is created, and the client's address details will be synced, regardless of the frequency selected in the Update Contact Details in Xero option in Practice Settings. From that point, subsequent changes to addresses will only be synchronised depending on the option selected. Refer to Managing Invoices Settings.
Resolutions
- For practices integrated with Practice Sync, changes to Custom Fields for archived clients will not be synchronised.
- When using the Practice Sync Desktop App:
- Making changes to the settings and clicking Save will perform a test to ensure the connection is successful.
- Where an issue is detected with the configuration settings, an error will now be displayed in the Practice Sync Desktop App Sync History, as well as Practice Activity.
- For practices on the Elite plan, where a client's email address is populated by the Primary Contact details, approving an invoice will synchronise the Primary Contact's email address to the Xero Ledger contact email.
- For practices integrated with MYOB via Practice Sync using the Invoices Sync (Beta), we have resolved an issue where some invoices failed to sync, incorrectly displaying a Failure event for related time entries in Practice Activity.

Enhancements
- We’ve added a new Clear button to selected fields when updating Clients or Jobs using Bulk Update or an Automation Process. When the Clear button is selected and the Bulk Update or Automation Process is run, existing values for that field will be removed.
Additionally, when selecting Merge Fields in an Automation for a field that supports clearing, a new option is displayed in the Merge Field Editor. If the data sourced by the Merge Field is blank when the Automation Process is run, you can now choose whether to retain the current value of the field, or clear it. For example, if you select to update the Client Manager to match the Client Partner, but a Partner has not been selected, you can select to keep the existing Client Manager or clear the field.

- To ensure that recipients always receive the current version of a document, the Share and Share - No Email options will be disabled when using a list to select documents currently being edited, including co-edit. A message will display when users hover over the disabled button, explaining that the document needs to be finished editing before being able to send. Refer to Creating an Email by Selecting Attachments in FYI and Sharing Documents with Clients and External Users.
- For practices using Client - Collaborate, we have improved the error message displayed when the 'Include as PDF' option is enabled and one or more documents couldn't be converted. This can occur when sharing documents via Email Attachment, Share - No Email or using an Automation. Users will need to resend the email or confirm which files have been uploaded before re-sharing the documents. Refer to FYI-2278 "Unable to share documents as PDF conversion failed. Please try again."
For practices on the Elite plan:
- Practices can now automatically attach invoices and credit notes to emails using the Create Email step in an Automation Process. Please note that the invoice or credit note must have been assigned an invoice or credit number to generate the PDF document used to attach to the email. We recommend setting up a dedicated Invoice view, filtered by Invoice Status and any other relevant criteria, to ensure only invoices that are ready to send are attached. Refer to Process Step Details - Creating Emails, Documents and Tasks.
- When creating or updating Time or Disbursements for a Workflow Job, we have added a new Billing Job field to the drawer to display the corresponding Billing Job. Click the link to open the Billing Job Workspace in a new tab. Refer to Creating Individual Time entries and Displaying and Updating Time and Disbursements.
- When selecting both Billing Jobs and Workflow Jobs in a list, users will be prevented from performing a Bulk Update to change the Job State to Cancelled, Completed, or Archived. A separate Bulk Update must be performed for each Job Type. If both Job Types are selected, an error message will be displayed and the Bulk Update will not proceed, even if the user continues to click the Run button. Refer to Editing Jobs using Bulk Update.
- Several enhancements have been made when creating an invoice and selecting time entries from the Add Time window. Refer to Managing Work in Progress - WIP.
- The total number of selected rows will now be displayed in the window, allowing users to easily track their selections. If time entries are then adjusted using Bulk Update, and additional rows are selected, this number will be reflected in the bulk update drawer in real time.
- To improve efficiency, users can now use the single Select All check box from the Add Time window when selecting all time entries. The previous 'Select All' and 'Select 50' drop-down options have been removed for a simpler, more streamlined experience.
- For practices on the Team Productivity Beta, the Home - My Team tab will now only display active employees for the time period selected. Refer to Using Home - My Team Productivity.
Resolutions
- The Gap integration available from the Automation Apps list has been renamed to The Gap (Portal) in preparation for a new version of the integration. There is no impact for practices already connected, with The Gap (Portal) continuing to sync emails and documents as normal.
- For practices using Client - Collaborate, documents will not be removed from the Client - Collaborate tab after being edited. Please note that the version in the client's folder on SharePoint will not be updated. Users are advised to first unshare the original document, then re-share the new version to ensure the client receives the latest copy of the file.
- For practices using the CSV Import Beta, values with decimals in columns mapped as "Numeric" in the Automation Filter will be rounded up to the next whole number during import.
