We're excited to share this month's updates, including new integrations, feature enhancements and automation improvements designed to streamline your practice's workflows.
The month started with two new automation process steps. When configuring an automation process, the following steps are now available:
- Finish Co-Edit - applying this step to an automation will automatically finish co-editing all the documents that match the filter. This will include Co-Edit and Client Co-Edit documents.
- Unshare Document - adding this step will remove documents from the New Collaborate SharePoint site (or Legacy Collaborate OneDrive folder) that match the selected Document filter.
If you are a practice preparing to update to New Collaborate or looking to further automate your year-end housekeeping, these steps are ideal for you.
For our Australia and New Zealand practices, our App Partners grew by one this month, with the integration with Connectworks. Designed to streamline compliance and trust management, the integration with Connectworks allows practices to sync client and document information from FYI into Connectworks. You will be able to configure the specific Cabinets and Categories of documents that you would like Connectworks to access, simplifying your compliance process.
Continuing on with enhancements for our Australia and New Zealand practices, this time for those that are integrated with APS Practice sync. Several improvements were made to your integration, resulting in greater control of your synchronised data:
- When the option to sync Contacts is enabled in the Practice Sync app, if clients have multiple email addresses in APS, individual contacts will now be created in FYI. The Contact will match the contact heading from APS.
- When the option to sync Custom Fields is enabled, and a field fails to sync due to a type mismatch, with have enhanced the functionality so that the Practice Activity error message will now include a "Read More" link with additional details to assist with troubleshooting.

We also applied new functionality for our UK practices, integrated with Companies House. A new Merge Field was added so that you can synchronise the next period end date, including the year. Simply choose the new Merge Field 'Company Next Accounts Made Up To' from the Merge Field selector to add this field to automation, jobs, and document templates. Refer to the Merge Fields Glossary for more information.
Our UK practices, which are integrated with CCH, we have also improved your synchronisation of data this month. A new option to use Milestone Status to determine the Job State was added. When "Use Milestone for Job State" is enabled in the Practice Sync app (along with the Jobs sync option enabled), job states will synchronise to FYI based on the CCH Milestone instead of assignments. For more information regarding the different synchronisation options, refer to Practice Sync Integration with CCH Central (United Kingdom Only).
Each month, we continue to improve features for those on the Elite plan. This month saw the following enhancements:
WIP Import Functionality
After completing a WIP Import process, the Import button is displayed again to allow practices to perform additional WIP Imports if necessary, no longer requiring them to contact our support team. Refer to Import Unbilled WIP Report.
Practice Ledger Enhancements
When migrating from XPM, Paid Invoices and Credit Notes dated before the Migrate Date selected in the Practice Ledger will not be synchronised. Only those dated on or after the selected migration date will be included to ensure a seamless invoice migration. Refer to Configure the Practice Ledger to select a Migration Date.
Furthermore, improvements have been made when manually synchronising invoices using the Practice Ledge App. If a previous sync was requested within the last 4 hours, including the overnight sync, then the Sync Invoices button will not be displayed. This ensures that duplicate synchronisation cannot occur and avoids any errors or duplication. Refer to Running a Manual Sync with Xero Ledger.
Locking Versions of Time and Disbursement Rates
For your FYI Admins, when a Time Rate or Disbursement is updated in Practice Settings, any existing versions with time entries are now locked. If you attempt to set a Start Date that matches an existing one, a message will display indicating that timesheets have already been created for that version. These enhancements ensure that Time Rates or Disbursements cannot be overwritten where they are already in use. Refer to Managing Rates for Time and Disbursements.
Deleting Draft Invoices
Users can now delete invoices in FYI that have the Source Practice Sync and the Status Draft. This improvement ensures your platform documents are kept tidy and your data stays current. Refer to Deleting and Voiding Invoices.
