Enhancements

For practices on the Elite plan:

  • When running an Unbilled WIP Import and matching WIP entries to users in FYI, if no matching user can be found, a new user will be created, referred to as a WIP Imported Inactive User.

    These users cannot be edited and are created using a unique, inactive email with the format: "username@customerID.fyi.imported." This format ensures that the email address cannot be used, but can be easily identified by an FYI Admin when viewing Practice User settings. Note that the customerID is unique to each practice. For example, if a WIP Imported Inactive User is created with the name "Norman Osborn", the unique email address would be: "normanosborn@1234567e9876.fyi.imported".

    In addition, a new "Imported" User Group is created and assigned to these users. The Cabinet Group cannot be removed and has no permissions by default. 

    Time entries associated with WIP Imported Inactive Users can be viewed from Practice - Time, and Client and Job workspace Time tabs. They will also appear on relevant Reports that include a Time view. Initially, after a WIP Imported Inactive User has been created, the Name will appear as "Unknown User" on Time views or Reports until the current user logs out and back into FYI to refresh the List cache.

  • Relative Filtering is now available on the Employee List for the "Expected Working Hours" and "Productivity Target %" columns. Users with access to the Employee List will be able to filter by Greater than or equal to, Less than or equal to, Between, Equals, and Does not equal. Refer to Practice Employees.

For practices using the My Time - Calendar (Beta), we are excited to announce the following enhancements to this feature:

  • The Group view has been reintroduced, and the Group button is now available to select from the Home - My Time tab. Users can now choose from three options to view their time: Calendar, Group or List, with the Group view retaining all original functionality. For more information on displaying Time Entries from the Group View, refer to Using Home - My Time.

  • Users' preferred Calendar zoom level is now retained in the My Time - Calendar view. When a user zooms in or out to adjust their view, their preferred zoom setting is retained when moving between workspaces. Refer to My Time - Calendar (Beta).

Resolutions

  • For practices integrated via Practice Sync, any changes made to the settings in the Practice Sync Desktop App will be applied during the next sync. If a sync is already in progress, the existing settings will continue to take effect until the sync is complete. 
  • For practices on the Elite plan and integrated with MYOB (Beta), when creating time entries for jobs created through the Practice Sync integration, the time entries will now show a source of "FYI" and include the relevant Billable Amount.

Resolutions

  • We have resolved an issue on the Jobs List when viewing inactive jobs. When changing between Job views, the view will now correctly respect the Hide/Unhide inactive jobs setting and display only the jobs that match the selected criteria. Additionally, clicking the Unhide inactive jobs icon ensures all job states are available in the Job State filter.

Enhancements

  • Relative Filtering is now available on the Jobs and Clients Lists for Number and Decimal type columns, including Custom Fields. For practices on the Elite plans, this also extends to the Time, Invoices, and Employee Lists. With these additional filters, practices can filter by Greater than or Equal to, Less than or equal to, Between, Equals, and Does not equal. For an example, refer to Sorting and Filtering Jobs Lists.

  • For practices using New Collaborate, when changing the domain associated with the SharePoint site, practices will be able to update the connection to the site using the New Collaborate Status Check. After running the checks, clicking Fix on the displayed error will update the links in FYI, including links to the Client and Upload folders. Please note that the new links must be resent to clients - any links sent previously with the old SharePoint site will no longer work. Refer to Troubleshooting New Collaborate using Status Check.

  • For practices not connected to Xero Practice Manager, an FYI Admin can now manage users' Phone and Mobile Numbers from the User Profile. For practices on Elite, these details will then be displayed on the associated Employee. Refer to Managing Users and Employee Summary.

  • For practice integrated with APS, we have improved how Partner and Manager details are synchronised to FYI. Where the Partner is not populated in APS, FYI will now synchronise the Director to the Partner Name. Similarly, if the Manager is not populated in APS, the Team Leader will now be synchronised to the Manager field. If the Partner or Manager fields in APS are updated at a later date, the new values will be synchronised to FYI.   • For practices integrated via Practice Sync, we have improved the error messages when syncs could not be completed successfully. Refer to Practice Activity.
    • When the client's Tax/IRD/VAT number exceeds 20 characters.
    • If a user is missing either a Name or Email Address.
    • When the Practice Sync Desktop App configuration settings prevent a connection to the selected database (applicable to MYOB, APS, IRIS, and CCH Central).
    • For APS practices, when a Custom Field cannot be synchronised as there is no matching Custom Field in FYI.

  • For practices integrated with Zapier, when adding the Update/Create Client Action event to a zap process, we have improved the mandatory fields required when matching client details. If the option to Create a Client doesn't exist and is set to Off, then a value for 'Client Email' or 'Export Code' is a required field. When the option to Create a Client doesn't exist is set to On, the Client Name becomes a required field and the Client Email and Export Code become optional. Refer to Integration with Zapier.

For practices on the Elite plan:

  • When migrating to the Elite plan and importing WIP, the Ledger Type column on the import file is no longer case-sensitive, and extra spaces will be ignored. Refer to Import Unbilled WIP Report.

  • We have improved the Invoice Sync process with Xero Ledger to better support synchronisation of large data-sets. The sync will prioritise synchronising Invoices and Credit Notes first, followed by the Invoice PDFs (displayed in FYI when clicking the Preview tab). An alert will be displayed in Practice Activity if the full sync could not be completed due to Rate Limits, with the remaining data synchronised during the next scheduled sync.   • For practices integrated with Active by Business Fitness, in addition to documents, Client and User data can now be synchronised from FYI to their Active platform. Practices can configure the Practice Management integration directly in their Active platform, with data then synchronising from FYI every hour. Refer to Integration with Active Workpapers (Australia and United Kingdom only).

  • For practice migrating time entries from MYOB AO/AE to FYI (Beta), we have added a new field to the MYOB Practice Sync, "Non-Chargeable Client Code". When a practice is migrating to the Elite plan and the Client Code has been entered into this field, time entries recorded against the internal client will synchronise to FYI with either the Status 'Submitted' or 'Draft'. Refer to Practice Sync Integration with MYOB AE/AO.

  • We have improved the synchronisation of Job Descriptions between FYI and XPM, to align with the selected Practice Management source. When FYI is enabled as the PM source, changes made to the Job Description in FYI will now synchronise to XPM, and updates made to the job description in XPM will no longer synchronise to FYI. For practices where FYI is not yet enabled as the PM source, changes made to the Job Description will synchronise between both XPM and FYI.   • We have improved the WIP import functionality, to support practices that do not manage WIP through XPM. Practices that are not connected to a Practice Management system will now see the Import Now button in the Time & Invoices settings, allowing them to upload a WIP Import report directly to FYI. Refer to Import Unbilled WIP Report.

  • We have added two new optional columns to the Time List, which practices can add to views, export to CSV, or include in Excel Reports. Refer to Practice Time.
    • FYI Time ID - displays a unique ID character string assigned to each time entry in FYI.
    • Source Path - displays the original imported data for the time entry. If the entry is updated, for example if the entry is moved to a different client or the rate is changed, practices will be able to identify the original source when the time was imported.

Resolutions

  • When a user is editing an Automation Process, if another user edits the same process to delete a step, a message will be displayed prompting the first user to refresh the screen to view the latest version.
  • When replying or forwarding an email that was filed from Outlook while in draft status, the reply or forwarded email will be created as a new email in FYI, threaded to the original email.
  • We have resolved an issue with the Bulk Export via AWS that caused it to fail intermittently.
  • For practices migrating from Virtual Cabinet and a large number of documents were unable to be imported, we have resolved an issue to ensure the Migration Report will not generate a blank report. Please note, there is a limit of 500,000 rows in the report; additional errors will not be displayed.
  • We have resolved an issue when viewing custom fields in a list. Where no value is set, the value will now appear blank instead of with the word 'undefined'.
  • For practices integrated with MYOB Practice Management (formerly GreatSoft), we have resolved an issue where an 'un-authenticated error' occurred during a job sync that was taking longer than one hour. The sync process will now refresh, ensuring the job sync completes successfully. 
  • When the Columns tab is expanded, we have removed the right-click functionality to add a field to Row Groups or Values to prevent errors being displayed. To include eligible fields in Row Groups or Values, drag and drop the fields as required.
  • When a network error is encountered on the FYI Practice Sync Desktop App, the FYI Connection setting will now display the configured user email and an updated message to advise the user there was an error connecting to FYI. 
  •  For practices using the Automation process CSV Import Filter (Beta), we have resolved the following issues:
    • When more than 10,000 documents are in the view, or the CSV exceeds the 5,000 row limit, the automation can now be tested or run successfully.
    • When creating clients with a new group value in the CSV file, the group will now successfully synchronise with XPM.
