The Time tab displays a list of Time and Disbursement entries for the current job. Users will be able to view important information, including the user, whether the entries are in draft or have been submitted, billable rates and amounts, and invoiced amounts.

The Job - Time tab  is only available for FYI Admins and users assigned to a User Group with the following permissions enabled:

  • View Timesheets
  • Move Timesheets
  • Edit Timesheets

The Edit Timesheets permission must be enabled to open the FYI Drawer for time and disbursements. 

Jobs Time Layout

The Time tab can be displayed as a standard List, or if selected, using the Grouped view functionality.

List Grouped view

When viewed as a List, Time and Disbursement information is displayed in columns, with users able to add or remove columns as preferred.

Job Time Functions

Toolbar

The toolbar contains a variety of functions to allow users to manage time entries.

Please note that some functions will only be available depending on whether one or more time entries have been selected from the list.

Function Details
Select all button
2301 List Select 50 or Select All.gif
Used to bulk-select time entries in the list. Click the drop-down to select 50 entries, or all available entries. Refer to Time and Disbursements Bulk Update.
View selector

Displays the list of Time Views available for the list. Default views appear at the top of the View selector with a divider, followed by saved views.
Unhide Deleted Timesheets

Unhides deleted time and disbursement entries.

For detailed information on deleting time, refer to Deleting Time and Disbursement Entries.

Group view

Enables or disables the Grouped view.

For detailed information on using the Grouping functionality, refer to Grouping Practice Invoice and Time Lists.

Delete

Used to delete the selected time or disbursement entry.

Only entries marked as Draft or Submitted can be deleted. The button will be disabled if another status has been selected, for example, an entry marked as Invoiced, or an Interim 

Only displayed when time or disbursement entries have been selected in the list.

Copy

Used to copy an existing time entry, opening the Create Time drawer with fields populated to match the copied time entry.
Bulk Update

Used to bulk update time entries selected in the list. For example, update the Status to Submitted, apply Custom Fields, or assign the time entries to a different job.
Cancel

Deselects the entries selected in the list.
Number of rows

Displays the number of entries in the current list. This value will be updated if filters are applied.

Not displayed when time or disbursement entries have been selected in the list.

Refresh button

Refreshes the Time list to show updated information. 

Not displayed when time entries have been selected in the list.


View tools

Allows users to reset the view to the default settings, or export the list to a CSV file.

Note: The "Save View" option is not available from the Job Time tab. Time Views must first be created from the Practice Time List to be available to select from the Job Time Tab.

List Functions

The following functions are available when using the Time list.

Function Details
List icon

Hover over the column heading and click the List icon. The following options will become available:

  • Pin Column: One or more columns can be pinned to the left or right, similar to Excel's "Freeze Panes". Pinned columns are indicated by a vertical line in the list.
  • Autosize This Column: Adjust the selected column width to fit the contents.
  • Autosize All Columns: Resize all columns currently displayed to fit the contents.

Note: Autosizing and pinned columns will reset to default settings upon leaving the list or changing views, unless the view is saved with the changes made.

Filter icon

The Filter icon is displayed as a funnel with three horizontal lines.

Click the icon to filter the options as required, or click Reset to return to the default settings.

When a column has been filtered, the Filter icon will be displayed in green.

Note: If the icon is not displayed, that column cannot be filtered.

Column Order Drag and drop the column heading to change the order in which columns are displayed within that list.
Column Width Drag the edge of the column heading to increase or decrease the width of the column.
Tip: Double-click the edge of the column to automatically resize the width to fit all contents.
Adding Columns

Click the Columns tab on the left-hand side. Columns that are saved in the current view are displayed in alphabetical order.

Search and tick additional columns in the list to add the Column to the view. 

Tip: You can search for columns at the top of the Columns tab. 

Removing Columns

To remove a column from the list:

  • Click the Columns tab on the left-hand side. Untick columns to remove them from the view, or
  • Drag the column anywhere off the list area. The column will be removed and will display as unticked in the Columns tab.
Expand and Collapse Groups

When Grouping is enabled, groups will be automatically collapsed. To expand the group, click the arrow icon on the left-hand side of the group name. Click the same icon to collapse the group.

You can also right-click on the list and select Expand All or Collapse All to expand or collapse all groups.

Only displayed when the List is displayed using the Grouped view.

Invoice icon

The Time list will display an Invoice icon on the right where a time entry is included in an Invoice. This allows users to quickly open the Invoice Drawer for relevant time entries. 

Using the Jobs Time Tab

Displaying the Drawer for a Time Entry

Clicking on an entry in the Job - Time List displays the relevant update drawer. Time and Disbursement entries can be edited if they are in Draft or Submitted status.

Users will only be able to display the FYI Drawer for their own time and disbursements. The Edit Timesheets permission must be enabled in the User Group to open the FYI Drawer for time and disbursements for other users. 

Once the time reaches the Invoiced or Locked status, the Update drawer will be read only.

Display Invoice

Where Time and Disbursement entries have been invoiced, the relevant invoice can be displayed from the Job - Time List. Click the Invoice icon on the right of the row to open the Invoice Drawer.

Displaying Deleted Time Entries

Once deleted, Time and Disbursement entries with a previous Status of "Submitted" (excluding Interims) are hidden from view. The status is updated to "Deleted." Refer to Deleting Time and Disbursement Entries.

Users can click the "Unhide Deleted Timesheets" button to display invoices with the status "Deleted".

Once unhidden, users can restore these time entries, if required. Refer to Restoring Deleted Time and Disbursement Entries.
