27.03.2025

New

  • We have an exciting new Beta available to all practices using New Collaborate, the Client-Specific Sites Beta. This feature allows practices to create dedicated SharePoint sites for clients, separate from the default New Collaborate SharePoint site. Integrated with the Client Security feature, FYI Admins can easily control which internal users can access the client's documents, both within FYI and the dedicated SharePoint site. For more information and to sign up for the Beta, refer to Client-Specific New Collaborate Sites (Beta).

  • FYI is now integrated with Connectworks, a comprehensive cloud-based platform, designed to streamline compliance and trust management. This integration enables practices to sync client and document information from FYI into Connectworks. Practices can configure specific Cabinets and Categories of documents they wish to access in Connectworks. This integration is available to our Australia and New Zealand practices. Refer to Integration with Connectworks.

Enhancements

For practices on the Elite plan:

  • For practices migrating from Xero Practice Manager, paid invoices and credit notes will not be synchronised if dated before the Migration Date selected in the Practice Ledger app. All invoices and credit notes dated on or after the Migration Date will be synchronised. Refer to Configure the Practice Ledger to select a Migration Date.

Resolutions

  • When selecting a view with a Role filter in Practice Settings - General - Users the list will update correctly without displaying an error.

For practices on the Elite plan:

  • When migrating to FYI Elite and importing the Unbilled WIP report, the "Billable" column is no longer case-sensitive.

New

  • We have introduced two new Automation Process steps:

    • The Finish Co-Edit step automatically finishes co-editing for all documents matching the selected Document Filter, including Co-Edit and Client Co-Edit.  Refer to Process Step Details - Finish Co-Edit.

    • The Unshare Document step will remove documents from the New Collaborate SharePoint site or Legacy Collaborate OneDrive folder, where the documents match the selected Document Filter. Refer to Process Step Details - Unshare Document.

    These automation steps will be ideal for practices looking to upgrade to New Collaborate, with the ability to automatically Finish Co-Edit and unshare documents before beginning the upgrade process. In addition, these steps could also be used to schedule a process to finish co-editing or unsharing documents filed against a particular year.

Enhancements

  • For practices integrated with APS we have made several enhancements to the synchronisation of data:

    • When the option to sync Contacts is enabled in the Practice Sync APS app in FYI, where clients have multiple contact email addresses, individual contacts will be created against the client in FYI. The Contact Name in FYI will display as the contact heading name from APS. Refer to Synchronising Clients, Matters and Users with APS (Australia & New Zealand only).

    • When the option to sync Custom Fields is enabled in the Practice Sync APS app in FYI, if a Custom Field fails to sync to FYI due to a different field type in APS, the error message in Practice Activity will now provide additional details. Users will be able to click the "Read More" link to view additional information to assist with troubleshooting the error. Refer to Error FYI-2265 "Create a new Custom Field in FYI with the correct Type."

  • For our UK practices integrated with CCH Central, we have enhanced the job sync functionality to allow practices to select "Use Milestone Status for Job State" in the CCH Practice Sync app in FYI. When enabled, along with the "Jobs" sync option, job states will synchronise based on CCH Milestones instead of Assignments. Refer to Practice Sync Integration with CCH Central (United Kingdom Only).

For practices on the Elite plan:

  • We have enhanced the WIP Import functionality to ensure the "Import" button is displayed after a previous WIP Import process has been completed, allowing practices to perform multiple imports. Refer to Import Xero Practice Manager Unbilled WIP Report.

  • When using the Practice Ledger app to manually synchronise invoices with Xero Ledger, the Sync Invoices button will not be displayed if a previous invoice sync was requested less than 4 hours ago, including the automatic overnight sync. Refer to Running a Manual Sync with Xero Ledger.

  • When generating an Excel Report, if the report contains an excessive amount of data and cannot be created, Practice Activity will display a Failure, and a detailed error will be displayed in the Automation History. Users can click the "Read More" link to find more information on optimising the report. Refer to Excel Report not generated and a Notification was not received.

  • When an FYI Admin updates a Time Rate or Disbursement in Practice Settings, any Rate or Disbursement version with existing time entries is now locked. In addition, if the FYI Admin attempts to manually update the Start Date to match an existing date, a message will display notifying the user that timesheets have already been created using this version. Refer to Managing Rates for Time and Disbursements.

  • For practices migrating invoices from MYOB AO/AE to FYI and Xero Ledger (Beta), all users can now delete Invoices in FYI with the Source "Practice Sync" and the Status "Draft". When deleting multiple invoices in bulk, the Delete option will only be available if all selected invoices have the source 'Practice Sync'. Refer to Deleting and Voiding Invoices.

Resolutions

  • We have improved the New Collaborate Status Check to provide more information when the OneDrive Admin user is not the Site Owner of the New Collaborate SharePoint site, including steps to resolve the issue.
  • When using Share No Email to share documents via New Collaborate, and Co-Edit with Client is enabled, all users on the client's Sharing Settings will be assigned edit permissions.
  • Removing a client filter from the Document List will update the list correctly without displaying an error.
  • Where Sample Automation Processes were previously deleted, the processes have been restored and are displayed on the Grid view as a draft. Practices can choose to archive these processes if not required.
  • When connecting the FYI Practice Sync Desktop App, an error message will be displayed for non-FYI admin users only when their account does not have the required permissions.
  • For practices integrated with APS with the Custom Field sync enabled in FYI, Custom Fields will be synchronised correctly where APS has been configured with a foreign key relationship between Custom Fields and Attributes. Please note Custom Fields must be first created in FYI with a matching Name and Type.
  • For practices integrated with MYOB AE/AO, when clients with an invalid email address are synced to FYI, for example "No Email Address", the email field in FYI will now remain blank.

For practices on the Elite plan:

  • We have resolved an issue when creating the Capacity Planning Report to display User names correctly when the Assignee field in the Create Task step is populated using a merge field.
  • After approving an Invoice, the Workflow Status field will update to Approved immediately, and the field will be locked to prevent further changes.
  • When creating a Progress or Final Invoice and a user changes the amount for a selected Job, the Invoice amount will be updated correctly.
  • When creating an Invoice, opening the WIP selector and saving without making changes will display the correct job values on the invoice drawer.
  • For practices using the Automation process CSV Import Filter (Beta), we have resolved an issue to prevent duplicating job numbers when performing a bulk update, where jobs have not yet synchronised with Xero Practice Manager.
