When are the FYI Tax Automation Processes triggered from Xero Tax?

There are three Automation Processes in FYI for the Tax Assessments from Xero Tax:

The tax return must have a "Filed" Status for FYI to retrieve Notice of Assessment information from Xero Tax.

The following are the requirements that must be met for these Automation Processes in FYI to be triggered from Xero Tax.

Tax Assessments AutoFile (Agreed & Not Postal)

Requirements to be met in FYI:

  • TFN is entered in Xero.
  • The return is not an amended tax return.
    FYI does not receive the details regarding amended returns. You can set up another Custom Process Automation that can be run manually to cover this scenario.
  • Xero Tax app is active and connected in FYI and Import tax assessments is turned on. Refer to Enabling Xero Tax Integration (Australia Only)
  • Client default mail delivery is set as email or Collaborate.
    This is set in the Client - Settings tab by setting Send Attachments as "Email" or "Collaborate".

  • There is an email address for the client's primary contact.
  • Status of the Automation Process Tax Assessments AutoFile (Agreed & Not Postal) is set to "Active".
  • Appropriate Templates are set up and allocated to each step in the Process.
  • Start From date in the Process is set as the later of the date the automation was first set with the Status as "Active" or the date that the Xero Tax integration was made active.
    FYI receives all historical NOA information (displayed on the "Tax" tab) but will only run automation for returns after the Start From date with Import tax assessments turned on.
  • The variance is $0.50 or less.
    There is an acceptable variance of 50 cents. If the assessed amount is within 50 cents plus or minus the estimated amount, it is accepted as agreed.
  • The run date of the Process is the next day after an accepted NOA in Xero Tax.
    FYI runs the Notice of Assessment process overnight, usually between 1am - 4am AEST. If the document is created when your Tax Assessments AutoFile process runs, this may be a timing issue and FYI has not processed the data. FYI is unable to import documents in real-time at this stage.

Requirements to be met in Xero Tax:

  • Notice of Assessment is for an Individual and not an entity.
  • Tax return exists in Xero Tax.
  • It is not an amended return.
  • It has been filed with the ATO and a Notice of Assessment has been issued.
    • If using Outcome Of Assessment in Xero Tax - the Notice of Assessment has been received without variance. Refer to the Xero help article Outcome of Assessment (OoA) Service.
    • If not using Outcome of Assessment in Xero Tax - the Notice of Assessment has been reviewed, and appropriate information added and accepted.

Tax Assessments AutoFile (Agreed & Postal)

This is the same as the above Tax Assessments AutoFile (Agreed & Not Postal) except for the following:

  • Client default mail delivery is set as postal.
    This is set in the Client - Settings tab by setting Send Attachments as "Postal Service".
    Refer to Setting Filing Defaults for a Client.
  • There does not need to be an email address set for the primary client contact.

Tax Assessments AutoFile (Variance)

This is the same as above Tax Assessments AutoFile (Agreed & Not Postal) and Tax Assessments AutoFile (Agreed & Postal) however there is a variance recorded which is greater than $0.50.
