Company Annual Review Job

This custom process is designed to automatically create the Company Annual Review job and tasks associated to support the processing of annual review work for clients. 

This custom automation has been created by the FYI team, ready to be imported to use in your practice. To download our quick reference guide click here (or download the file from the bottom of this article).

For practices on the Elite Plan, you might like to consider adding additional steps to automatically create time entries, disbursements and invoices to streamline the processing requirements further, outlined below.

To further streamline the Company Annual Review Job process, consider adding the Create Time, Create Disbursement and Create Invoice steps to your process.

Add Step - Create Time

This step will create a time sheet entry for the user automatically. We recommend adding this step to the process as Step 3.

  1. Click Add Step.
  2. Click FYI Actions and select Create Time.
  3. The Date will default to Current Date, this will be the date the process runs.
  4. Select the User the time entry should be allocated for. Consider using Merge Fields and User Roles to dynamically populate this, in this example we're using the Team Administrator User Role and the Merge Field to populate the details from the Job created in Step 1. 
  5. Select the Time Type to be Chargeable.
  6. The Client will default to Current Client, this will be the client the process runs for.
  7. Select the Job. For this example, we're using Merge Fields to allocate the time entry to the job created in Step 1.
  8. Define the Time value, for this example, we've nominated 30 minutes.
  9. Select the Rate for the time to be allocated.
  10. Select the Status for the time entry. For this example, we've elected to Submit the time entry. 
  11. Add any Notes for the time entry narration as required, consider using Merge Fields to dynamically populate the notes.
  12. Review and add any Custom Field information to the time entry as required.
    Note: the job custom fields will attempt to be inherited to the time entry.
  13. Click Save

Add Step - Create Disbursement

This step will create the disbursement for the company annual review automatically. We recommend adding this step to the process as Step 4.

  1. Click Add Step.
  2. Click FYI Actions and select Create Disbursement.
  3. The Date will default to Current Date, this will be the date the process runs.
  4. Select the Job. For this example, we're using Merge Fields to allocate the time entry to the job created in Step 1.
  5. Define the Name of the disbursement. For this example, we're using Merge Fields to populate the year in the name of the disbursement.
  6. Select the Rate for the disbursement to be allocated.
  7. Select the Status for the disbursement. For this example, we've elected to Submit
  8. Add any Notes for the disbursement narration as required, consider using Merge Fields to dynamically populate the notes.
  9. Review and add any Custom Field information to the time entry as required.
  10. Click Save

Add Step - Create Invoice

This step will create the invoice for the company annual review automatically. We recommend adding this step to the process as Step 5.

  1. Click Add Step.
  2. Click FYI Actions and select Create Invoice.
  3. The Date will default to Current Date, this will be the date the process runs.
  4. Select the Due Date for the invoice. For this example, we'll apply the Due Date Rule that is set in Practice Settings.  
  5. Set the Type of invoice, Layout and Disbursements settings for the invoice. 
  6. Define the Invoice Amount, consider using Merge Fields to dynamically populate this value. For this example, we're using Merge Fields to populate the Job Budget Amount from the job created in Step 1. 
  7. Review and add any Custom Field information to the time entry as required.
  8. Expand the Filing section of the Drawer to define the Name of the invoice and filing parameters as required. Consider using Merge Fields to dynamically populate the Name of the invoice. For this example, we'll be using the defaults and AutoFile options.

  9. Click Save

Custom Process Example

The process for the Elite Plan ensures the job is created with all tasks, time, disbursement and invoicing handled, including the finalisation of the job and updating the custom field to trigger the process for the following year.
