Job Tasks Tab

The Job Tasks tab displays any Tasks filed against the job, including both stand-alone tasks, and tasks that have been created for emails and documents related to the job.

Job Tasks Layout

The Job Tasks tab displays as a List by default, while practices on the Pro and Elite plan also have the option of displaying Tasks as a Board view.

To change between the List or Board view, click the relevant List or Board button in the top right-hand corner. Your choice of List or Board will be retained.

List Board

When viewed as a List, Task information is displayed in columns, where users are able to sort, filter, add and remove columns. Refer to Using the Tasks Lists.

Job Task Functions

Toolbar

The toolbar contains a variety of functions to allow users to easily view and manage tasks. The available functions are dependent on whether List or Board has been selected.

Right-click on individual tasks in the List view to display the Toolbar as a menu.

Function Details
Select all button
2301 List Select 50 or Select All.gif

Used to bulk-select tasks in the list.

(List only).

View selector

Displays the list of Task Views available to the list. Default views appear at the top of the View selector with a divider, followed by saved views.

Search tasks

Used to search Tasks. Type in the search terms and press Enter to filter tasks.

Delete

Used to delete the selected Tasks.

This function can only be performed by the creator of the task or an FYI Admin.

Bulk Update

Allows users to apply updates to multiple tasks at a time, for example, to change the Assignee or Status.

Select one or more tasks in the list to display the Bulk Update function.

Bulk Update is not available in the Board view.

Task Link

Copies the link of the selected task to your clipboard and can be pasted outside of FYI, or used in emails to other internal users.

When a user is directed to a document via a Task Link, this opens the Tasks list with the relevant task selected and the drawer open.

This is not available when more than one task has been selected in the list, or in Board view.

Cancel

Deselects the tasks selected in the list.

List or Board mode

Displays tasks in either a List, or a Kanban-style Board based on the Task Status. 

Refresh button

Refreshes the Tasks to show updated information.

View tools

Allows users to reset the view to the default settings, or export the Documents List to a CSV file.

Note: The "Save View" option is not available from the Job Tasks tab. Task Views must first be created from the Tasks List to be available to select in the Job Tasks List.

View Tools are not available in Board mode.

Column Functions

The following Column functions are available when tasks are displayed in the List mode. For more details on using Task Lists, refer to Using the Tasks Lists.

Function Details

List icon

Hover over the column heading and click the List icon. The following options will become available:

  • Pin Column: One or more columns can be pinned to the left or right, similar to Excel's "Freeze Panes". Pinned columns are indicated by a vertical line in the list.
  • Autosize This Column: Adjust the selected column width to fit the contents.
  • Autosize All Columns: Resize all columns currently displayed to fit the contents.

Note: Autosizing and pinned columns will reset to default settings upon leaving the list or changing views, unless the view is saved with the changes made.

Filter icon

The Filter icon is displayed as a funnel with three horizontal lines.

Click the icon to filter the options as required, or click Reset to return to the default settings.

When a column has been filtered, the Filter icon will be displayed in green.

Note: If the icon is not displayed, that column cannot be filtered.

Refer to Sorting and Filtering Tasks Lists.

Column Order Drag and drop the column heading to change the order in which columns are displayed within that list.
Column Width Drag the edge of the column heading to increase or decrease the width of the column.
Tip: Double-click the edge of the column to automatically resize the width to fit all contents.
Adding Columns

Click the Columns tab on the left-hand side. Columns that are saved in the current view are displayed in alphabetical order.

Search and tick additional columns in the list to add the Column to the view. 

Tip: You can search for columns at the top of the Columns tab. 

Removing Columns

To remove a column from the list:

  • Click the Columns tab on the left-hand side. Untick columns to remove them from the view, or
  • Drag the column anywhere off the list area. The column will be removed and will display as unticked in the Columns tab.
Task Icons

The Jobs Task List will display various icons on the right to allow users to easily identify additional information about each task. For example, tasks created by an automation process will display the Automation icon. The Comments icon, a speech bubble, will be displayed where the task has comments.

Board Functions

The following functions are available when tasks are displayed in the Board mode.

Function Details

Task Status

The Board View displays Tasks in columns based on the Task Status. To update the status of a Task, simply drag and drop the task into the relevant Status column.

Task Count

The count of Tasks within that column is displayed in a yellow circle on the top right of the column.

Task Card

Each task is displayed as a card, containing useful information relevant to the task:

  • Client
  • Client Group
  • Task Name (click on the Task Name to display the Update Task drawer)
  • Due Date
  • Assignee
  • Comments
  • Category (if there is a Task Category "Priority" this will be displayed automatically)

Task Icons

The Job Tasks Board will display various icons on each Task Card to easily identify information.

The Comments icon, a speech bubble, will be displayed where the task has comments.

Due Date colour

The colour of the Due Date will be displayed as follows:

  • Shaded green if the Task is not due in the next 5 days.
  • Shaded orange if the Task is due within the next 5 days.
  • Shaded red if the Task is due today or the Due Date has passed.

Assigned Users

The user assigned to each task will be displayed as initials in the bottom right of each card.
