New
- We have released two new Automation Steps:

Send Request - allowing practices to send data from FYI to an external platform system. This step is available for Client, Documents, and Job filters, for example, if a Document is added to the selected filter, then a request is sent to Zapier to trigger a zap. Refer to Process Step Details - Send Request.
- Update Time/Disbursement - available to practices on the Elite plan only, allowing practices to update Time or Disbursement entries from either the selected Time filter or time created earlier in the Automation process. For example, to update "Draft" time entries to "Submitted". Refer to Process Step Details - Update Time/Disbursement.

Enhancements
- You can now group the Jobs List, Time List, and Invoices List by "User" Type Custom Fields. Refer to Grouping Jobs Lists, and Grouping Practice Invoice and Time Lists (Elite plan only).
- We have improved the Bulk Export via AWS and Bulk Export via OneDrive functionality to display Export Results in a list view on the Export tab, allowing FYI Admins to sort and filter certain export results for better visibility. The Configure button has also been removed, with practices now able to configure the export Filing Structure as part of running the export, streamlining the process. Refer to Bulk Export AWS and Bulk Export OneDrive.
- For our UK practices, we have improved the Import from Companies House Automation Process by updating the Document Name and Owner fields with new merge fields available via the Merge Fields icon. These changes will apply to practices starting a new trial, or existing practices that have not modified the previously imported process. Refer to Import from Companies House.
- We have updated the Task Templates list configuration for new trials, creating a new Active view that will display as the default view. Columns and Filter settings for system views have also been updated to provide more accessible information. Please note that existing practices will not be impacted by these changes. Refer to Creating and Maintaining Task Templates.
- The Practice Sync Desktop App will now detect when proxy settings are required but not yet configured, and will display an error message to prompt the user to enter the details. Refer to FYI Practice Sync Desktop App.
- We have improved the user experience when editing Tags and Views in Practice Settings to automatically save the changes. The Save and Cancel buttons have been removed from the drawer accordingly.
For practices on the Elite plan, this functionality has been extended to updating Time Types in Practice Settings. Refer to Managing Time Types, Managing Tags, and Managing Views.
For practices where FYI as Primary for Client Maintenance is enabled:
- When displaying the Assigned Users section from either the Client Summary tab, Job Summary tab, or the Create Client drawer, a new tooltip has been added to clarify that only "User" Type Custom Fields are displayed. Refer to Assigning Users to Jobs.
For practices on the FYI Elite plan:
- We have improved the WIP import process to improve the matching of Clients and Jobs. Refer to Import Xero Practice Manager Unbilled WIP Report.
- If a Standard Job is converted to a Workflow Job while the WIP Import is in progress, WIP will continue to be matched to the correct job.
- We have removed case sensitivity for the Client Name, User name, Job Name, Billable Value, or Time Notes fields. In addition, extra spaces in the fields will be removed when searching for matches, for example, where there are spaces before the Client Name.
Resolutions
- We have resolved an issue with the Capacity Planning Report to ensure the Availability and Leave columns display the correct values for each employee. Practices will need to download the latest version of the report from Managing FYI Excel Master Report Templates.
- For practices integrated with MYOB, the Client Manager will be synchronised with the Responsibility tab in MYOB, using the "Manager" field first, and if not populated, then the "Assignment Manager". If neither field is populated, the Client Manager field in FYI will remain blank. Details on the "Assignment" tab in MYOB will not be synced.
- For practices integrated with APS, any spaces at the end of the client name will be trimmed to ensure jobs can be matched correctly.
- When using the Clients or Documents Lists, the count of the selected rows will be calculated correctly after scrolling down to load more results and make additional selections.
- We have resolved an issue when using Bulk Export via OneDrive to ensure all document types will be exported based on the export criteria set.
- We have resolved an issue where FYI Admin users could access the Refile tab in Practice Settings. This functionality is now correctly restricted to Support Users only.
- When filtering the Job List by Job State, selecting a new Filter will update the List to display the filtered results correctly.
For practices on the FYI Elite plan:
- The Invoice Preview for Draft Invoices will be updated to "Tax Invoice" when the Status of the invoice changes to "Awaiting Payment" or "Paid".

Enhancements
- We have improved the New Collaborate Sharing Settings, allowing practices to customise the Guest User's Display Name, without impacting the Client or Contact names stored in FYI. Additionally, when adding a User to Sharing Settings, FYI will automatically check if the contact exists and apply the Display Name based on certain conditions. Refer to Managing Display Names for New Collaborate.
- When displaying jobs in the Job - Workflow Jobs tab, the Unhide the inactive jobs preference will now be retained, including when logging out and back into FYI, or changing to a new tab. For example, if a user has selected to view Active Jobs only. Refer to Jobs Billing Job Tab.
- We have updated the Document List configuration for new trials, displaying the Active view by default, and updating columns and filter settings for system views. Please note that existing practices will not be impacted by these changes. Refer to Using the Document Lists.
In addition, the Automation Library will be updated to use the new default "Active" view instead of the "All" view. Any existing practices adding these automations to FYI for the first time will need to either create an "Active" view or customise the Automation Process to select an existing view available to the practice.
The updated Automations are:
For practices where FYI as Primary for Client Maintenance is enabled:
- We have added a new Assigned Users section to the Client Summary and Job Summary tabs. This section will display all "User" type Custom Fields, allowing practices to easily identify users assigned to a Client or Job, for example, Accountant or Bookkeeper. Refer to Client Summary and Job Summary.
To edit "User" Type Custom Fields in the Client and Jobs workspace, users must belong to a User Group with "Edit Clients" or "Edit Jobs" permissions. Refer to Managing User Groups.
Please note, these fields will no longer display in the Custom Fields tabs for the Client and Job Workspace.
For practices on the Elite Plan:
- We have refined the Budget Amount calculations for Billing Jobs by excluding the budget amounts of Cancelled and Archived Workflow Jobs from the total. When a Workflow Job is updated to a Job State Type of Cancelled or Archived, the associated Billing Job's Budget Amount will be recalculated. An entry will added to the Job Activity tab to display the change. Refer to Jobs Overview.
In Practice Settings, when an FYI Admin updates a Job State Type to Cancelled or Archived, the Budget Amount of any associated Billing Jobs with Workflow Jobs where the Job State is selected will be recalculated. An entry will be added to Practice Activity to confirm the change. Refer to Managing Job States.
Please note that all practices with active Billing Jobs will have the Budget Amount recalculated, where any associated Workflow Jobs are in a Cancelled or Archived Job State Type.
- We have introduced the Last Comment column on Invoices Lists. When the column is added to the view, the most recent comment displays. Additionally, the Comment icon will be visible to indicate when comments have been added to an Invoice. Refer to Using the Invoices Lists.
- When upgrading to the Elite plan and invoices are synchronised from Xero, the Paid column in Invoices Lists now displays the date the invoice was paid. Users can filter the date, for example, invoices paid "Last Month". Refer to Using the Invoices Lists.
For practices using the Process Step Details - Send Request (Beta):
- When adding the Send Request step to a Custom Automation Process, we have introduced an optional Secret field. This field allows recipients to verify the integrity and authenticity of the incoming requests to implement greater security protocols. Refer to Process Step Details - Send Request (Beta).
Resolutions
- When viewing Home - My Time in List view, applying a Date Filter will refresh the data and display the matching results appropriately.
- For practices integrated with Annature, AdobeSign and DocuSign when sending multiple documents for signature, the order in which the documents are selected will be retained in the signature app.
For practices on the Elite Plan:
- For users with Employees - Access permission, selecting any view on the Employees tab will now correctly display all names.

Enhancements
- For practices integrated with Xero Practice Manager where FYI as Primary for Client Maintenance is not enabled, the Mobile and Salutation fields on the Client - Summary tab in FYI now sync with the Primary Contact in XPM. To update these fields in FYI, the user will need to update XPM to either select a Primary Contact or modify the existing Primary Contact details.
Please note: where a Primary Contact has not been selected, the first client contact in XPM will not synchronise, and the Mobile and Salutation fields will be blank in FYI. Refer to Client Summary.
