Using My Time - Calendar (Beta)

The My Time - Calendar view displays time entries in a calendar view, allowing users to easily see their week at a glance, create time, submit drafts, and more.

When using the Calendar:

  • Time entries marked as In Progress with an active Timer, or time entries created using AutoTime will be created automatically to start at midnight and will need to be adjusted to the correct time of day.

Displaying the Calendar view

The Calendar View is displayed on the Home - My Time tab by clicking the Calendar button in the top right-hand corner.

Click the List button to return to List view (the Productivity Dashboard)

Calendar Settings

Users can manage their default settings used to create time, including the Timesheet Status of Draft or Submitted, and whether time is entered using start and finish times, or a duration.

  1. Click the Settings menu and select My Settings.

  2. Locate the Timesheet section. 

  3. Select the Default Status of either Draft or Submitted.

  4. Update the Time Entry Mode to either Duration or Start/Finish Time. Changes to the settings will be saved automatically.

    If Duration is selected, when creating time users will be prompted to enter a time value. If Start/Finish Time is selected, users will need to enter a start and finish time, and the duration will be calculated automatically.

Using the Calendar

Displaying Time as a Week or Day

The calendar can be displayed either as a Day or a Week. The view is sticky, meaning that the Day or Week view will be retained if you navigate between workspaces.

Click the Week or Day option in the top right to select the required view.

The Week view displays 7 days, Monday - Sunday, and is ideal for users looking to view the week at a glance, or plan ahead. If viewing the current week, the current day will be highlighted in light yellow.

The total Submitted time will be displayed at the top of each column.

The Day view allows users to focus on a particular day, for example when there are back-to-back events or time-critical priorities.

The total Submitted time will be displayed at the top of the column.

Changing the Time Increments

The Time Increments can be changed by zooming in and out of the calendar. For example, clicking the minus symbol to zoom out can reduce the calendar to hourly blocks, while clicking the plus symbol will zoom in to display 30, 20, 15, 10, or 6 minute increments.

When a time increment has been selected, the zoom settings will be retained when a user moves to another workspace and returns to the Calendar view.

In the example below, the Day view has been zoomed in to display 6-minute increments.

Changing the Date

The arrows in the top left-hand corner are used to scroll to the previous or next week or day, depending on the view selected.

Click the Today button to automatically scroll back to the current date.

Submit Drafts

Click the Submit Drafts button to update all draft time entries to the status of "Submitted" automatically. If the button is not visible, there are no drafts to be submitted.

Drafts can also be submitted by right-clicking on individual entries.

Time Card Appearance

Time cards are displayed using distinct colours or features like diagonal lines or borders, making it easy to identify important features, like the status of the time entry. Refer to the Legend below for more details.

Managing Time

Create Time

In addition to creating time using the + button, you can also create time directly from the calendar.

To create a new Time entry from the calendar:

  1. Click on a time increment in the calendar, or click and drag to select a range of time.

  2. The Create Time drawer will open.

  3. If the user's Time Entry Mode is set to Start/Finish Time, the Start Time and Finish Time fields will be updated to match the range of time selected. The Time field will be disabled, and the duration will be automatically calculated.

    The Start Time and Finish Time fields are entered in 24-hour format. For example, 13:30 is 1.30pm.

    If the Time Entry Mode is set to Duration, the Time field will be automatically populated based on the range of time selected. For example, if the time increments are set to 6 minutes, and two increments are selected, the duration will be set to 12 minutes.

  4. Update the remaining fields as required.

  5. Click Create.

  6. A new block of time, referred to as a Time Card, will be added to the calendar.
    If the Time Entry Mode is Duration, the time will begin at midnight at the top of the calendar. Click and drag the time entry to the relevant time as required.

AutoTime

Time entries created using AutoTime will be displayed with an A symbol in the top right-hand corner of the Time Card.

By default, AutoTime entries will be displayed from 8.30am onwards on the calendar, but will not have a Start Time set. 

To update the Start Time, users will need to either:

  • Click and drag the time entry to the appropriate time on the calendar.
  • For users with Start/Finish Time selected in their Settings, click on the Time Card to display the Update Time drawer, and set the Start and Finish Time fields.

Without a Start Time, updating the time entry will reset the Time Card back to midnight on the calendar.

Timer

When a time entry is created using the Timer function, the current time will automatically be selected as the Start Time.

A Time Card will be added to the calendar, displayed with diagonal stripes to indicate a timer is currently active. The colour of the Time Card will depend on the Time Type selected. As the time increases, the size of the card will automatically expand on the calendar.

Once the timer is stopped, the diagonal lines will be removed. 

If the Timer is paused and then resumed, the Finish Time will be adjusted to reflect the duration the Timer was active. For example, the Timer was started at 10:00 and paused at 10:05, then resumed at 10:10 and stopped at 10:15. The time entry will have a Start Time of 10:00 and a Finish Time of 10:10, a total of 10 active minutes.

If not stopped earlier, the Timer will automatically stop at midnight, and the Finish Time will be set to 23:59.

Editing Time

Users can update time entries with a status of Draft or Submitted. If a Locked time entry is selected, the Update Time drawer will be displayed but the fields will be disabled.

Changing the Time or Duration

The duration of a time entry can be changed by dragging the Time Card to make it larger or smaller as required. The time will be increased or decreased depending on the displayed time increments.

Hover over the top or bottom of the Time Card to display the vertical arrows, then click and drag to adjust the time as required.

Time Cards can be dragged to different times or days. Hover over the Time Card to display the hand icon, then click and drag the card to the new time.

Display the Update Time drawer

To edit a Draft or Submitted time entry using the Update Time drawer:

  1. Click on a time entry to display the Update Time drawer on the right.

  2. Change the fields as required.

  3. Click Update to save the changes.
    If the Time Entry Mode is set to Duration, when the duration value in the Update Time drawer is changed, the Time Entry will be reset to start at midnight and will need to be dragged to the correct time.

Copying Time

To copy a time entry:

  1. Right-click on a time entry to display the menu, and click Copy.

  2. The Create Time drawer will be displayed with the fields populated to match the original time entry.

  3. Update the fields as required.

  4. If the Time Entry Mode is set to "Duration", the Time field will be updated to match the time value of the original time entry. If set to "Start/Finish Time", the time will need to be entered into the Start Time and Finish Time fields in 24 hour format e.g. 15:30. The new time entry will be set to Start at midnight, and will need to be dragged to the correct position.

Deleting Time

Time entries can be deleted if they have the status of either Draft or Submitted. Invoiced time cannot be deleted.

To delete a time entry:

  1. Right-click on a time entry to display the menu, and click Delete.

  2. A message will be displayed to confirm you want to delete the time entry. Click Yes to proceed. If the time entry is Locked, a message will be displayed to advise you are unable to delete the time.

  3. The time entry will be removed from the calendar.
