My Practice is changing our Microsoft 365 Tenant or renaming our domain. What do we do in FYI?

We are renaming our domain or changing our Microsoft 365 organisation, due to a rebrand, merger or operational restructure. What do we need to update in FYI? 

This article applies to practices that are either renaming their Microsoft 365 domain, or performing a full Microsoft 365 tenant change.

Updates required in FYI

Our recommended approach consists of the following steps. Click on the links in each section to view detailed instructions.

Step 1 - Finish Editing for All Documents

Any documents that are out for editing should be checked back in by clicking "Finish Editing" or "Finish Co-Edit", etc.

Step 2 - All users update their Xero email addresses

Step 3 - Reconfigure Practice's OneDrive after the migration has completed

Linking a OneDrive Admin is required only when the tenant has changed. If the domain has been updated, the OneDrive Admin needs to log in after the email address update to refresh tokens.

Step 4 - Reconnect DocuSign Integration with updated account (if applicable)

Note: This step is only required if using the DocuSign integration, otherwise continue with step 5 below.

As DocuSign uses the OneDrive app, you will reconnect the integration once you have updated the Microsoft 365 organisation or renamed your domain.

Step 5 - Deploy FYI Add-ins

This step is only required for Microsoft 365 organisation changes. The IT team will need to deploy the FYI Add-ins for all staff.

Step 6 - Configure Collaborate Settings

If you're using New Collaborate:

The change of domain will be reflected in FYI a minimum of 10 minutes after it takes place in Microsoft 365.

  • Before running the New Collaborate Status Check, confirm the new domain is displayed correctly in the Collaborate - Client configuration screen.

  • Do not run the status check until the changes have automatically synchronised and display in the Collaborate app. If run too early, the site configuration will not be refreshed in FYI and existing share URLs will not be updated.
  • Run the New Collaborate Status Check. As FYI performs the checks, it will detect if the domain has changed. Click Fix to update the domain name, including links to the SharePoint site, client folder, and upload folder.
  • Once the connection has been updated, we recommend you send new Share links to your clients, as the site URL will have changed. Refer to Sharing the New Collaborate Client and Upload Folders.
  • If you are completing a full Microsoft 365 tenant change, you should also follow the Guide to Configuring New Collaborate to ensure Collaborate is set up correctly with the new tenant.

If you are using Legacy Collaborate, the existing links to shared folders and documents will be broken, and clients will not be able to access these files.

  • If you are changing the OneDrive Admin Account, you will need to copy all folders across for any documents that are being shared with clients.
  • Any documents that are in Co-edit, you need Co-edit again once moved to the new system. You can check in the practice FYI - Co-Edits folder which documents are still there to determine which need to be Co-Edited again. Co-Editing an External Document (Co-Edit with Client).

Step 7 - Update FYI

If required, you can change the Company Name or Billing Email Address from within FYI. Refer to Changing your Plan, Billing Details or Practice Details.
