Known Issues with the new release of Email Templates

The following are known issues with the latest release of Templates and will be addressed in a future update.

When a new Template is created, it is not obvious it is in "Draft"

Issue

When you create a new Email template or signature, by default the Status is set to "Draft". If you have the "Active" view selected in Knowledge - Templates, the newly created Draft template or signature will not be shown.

Workaround

Before creating a new template or signature, it is recommended to change the selected view to "All"  so it includes the Draft templates.

To set the Status of a template of signature as "Active", in the Filing section, select "Active" as the Status.

Delay when updating the Status to "Active" and when Template is available to users

Issue

There may be a delay when you update the Status to "Active" and when the template appears for users when creating an email.

Workaround

Wait a few minutes, refresh the browser (refer to Additions and changes made to FYI settings, practice settings, views, templates are missing or not showing) and try again.

When an active Template or Signature is edited or Co-edited, the Status remains as "Active"

Issue

When an active template or signature is edited, this should automatically set the Status as "Draft", but it currently leaves it as "Active".

Workaround

While it is being edited, change the Status to "Draft" to prevent users from selecting the template when creating an email. When editing an email Signature, take special care of setting the Status if it has been selected as the default signature of as the signature for any users.

If an Email Template or Signature is being already edited, this is not indicated to other users

Issue

There is no indicator that another user has an email template or signature open and is making changes, so it can potentially be edited by more than one user at the same time. Changes made by the second user who opens it are not saved.

Workaround

Check within the practice that no one else is making changes to the email template or signature.

If an Email Signature is used as the Practice Signature or for an Individual User, there is no message if it is deleted or set to "Draft"

Issue

When deleting an Email Signature or setting it to "Draft", there is currently no indicator that this has been selected as the Practice Signature or for an individual user.

Workaround

Before deleting the Signature or setting it to "Draft" check if it is still being used in the Practice Settings or selected for an individual user.

Deleted Templates or Signatures cannot be Restored

Issue

There is currently no restore facility for deleted Templates or Signatures.

Workaround

In the interim, instead of deleting a Template or Signature that is not in use, we recommend setting the Status to "Archived".
