Displaying the Jobs Board

Jobs can be displayed as a Jobs Board. This is a 'kanban' style board as an alternate interface to the Jobs List for easy visibility and management of where the bottlenecks are across your practice.

Accessing the Jobs Board

The Jobs Board can be displayed by clicking the Board button in the top right-hand corner, from the following workspaces:

  • Jobs List
  • Client - Jobs
  • Home - My Jobs

Jobs Board Layout

Jobs are displayed by Job State, arranged in the order defined in Practice Settings - Job States. Each column shows the total number of jobs within a specific State, along with a summary of each individual job on a Job card.

When navigating between the Job features in Jobs List, Client - Jobs and Home - My Jobs, and after logging out, your choice of the Board or List view is automatically retained.

Jobs Board Functions

Toolbar

The toolbar contains a variety of functions to allow users to easily view and manage the jobs from the Board view.

Function Details
View selector

Displays the list of Job Views available to the list. Default views appear at the top of the View selector with a divider, followed by saved views.

You will only be able to select existing Views. New Job Views must be created from the Jobs List.

Filter by Partner or Manager

You can also select a Manager or Partner to display only those Jobs where that user is the Manager or Partner recorded against the job.

If you make a selection of Manager or Partner for a view, this is held as the selection, if you then re-display the Jobs List.

Search jobs

Used to filter Jobs. As you type, the board will update to display the matching results.

Type in the search terms and press Enter to filter jobs.

Hide/Unhide the Inactive Jobs

Click the eye icon to unhide or hide inactive jobs.

Show Jobs flagged as Primary for the client

Click on the Filter icon to show jobs flagged as Primary for the client.

Refresh Board button

Refreshes the Jobs to show updated information.

Jobs Board

The Jobs Board contains various functions that allow users to easily display and manage their jobs in a Kanban style. Where selections have been made on the Jobs List such as the View, Search or any Filters, these are carried over to the Jobs Board when selected.

Note: When the Jobs Board is displayed from the Client workspace, if Show Jobs by Client is ticked in Practice Settings, only the jobs for the specific client are included.

The following functions are available when jobs are displayed in the Board mode.

Function Details
Job Status

The Jobs Board displays jobs in columns based on Job State.

The sequence in which they show from left to right is determined by the settings defined in Practice Settings - Job States. Initially, Completed and Cancelled Job states will be excluded from the Board.

Job Count

The count of Jobs is displayed in a yellow circle on the top right of each column.

The Completed Job Status column will display the word "filtered" indicating that inactive jobs are hidden from the board.

Job Card

Each job is displayed as a card, containing useful information relevant to the task.

Refer to Job card for each function.

Load more link Where there are more than 50 Jobs for any of the States, the Load More link displays at the bottom of that State column so you can display the next 50 Jobs.
Scroll bar Use the scroll bar at the bottom of the screen to scroll left and right.
Use the scroll bar within each Job State to scroll that Job State up and down.

To re-display the workspace as a list, click the List button.

For practices integrated with Xero Practice Manager, and providing the option Maintain Jobs in FYI is set as "Off" in the Xero Practice Manager app, a manual sync can be performed from the Jobs Board by clicking Sync.

Job Card

The job card displays detailed information for each individual job including Client Name, Job Name and Budget amount. The job card also provides a variety of functions to allow users to easily access and manage job information. 

Function Details
Client Name Click on the Client Name to open the Client workspace for that Client.
Client Group Click on the Client Group to open the Client Group workspace.
Job Name

Displayed in Bold, click on the Job Name to display the Update Job Drawer. 

Refer to Editing Jobs from the Jobs Drawer for additional functions available.

Job Number The unique job number, displayed beneath the Job Name.
Due Date colour

The colour of the Due Date will be displayed as follows:

  • Shaded green if the Job is not due in the next 5 days.
  • Shaded orange if the Job is due within the next 5 days.
  • Shaded red if the Job is due today or the Due Date has passed.
Assigned Users

The user assigned to each job will be displayed as initials in the bottom right of each card. Up to 3 users display in alphabetical order. Where there are more than 3 assigned users, this shows the ellipsis (...).

Budget amount Where a Budget has been entered against the job this displays as a monetary amount in currency format (eg $ 1200 or $200).
Variance colour

Where there is a Variance between Actual and Estimated hours, it will be displayed in hours and minutes format (eg 01:30 for 1 hour and 30 minutes or 01:45 for 1 hour and 45 minutes). The colour of the hours will display as follows:

  • Green: positive variance.
  • Red:  negative Variance.
Comment icon

The Comments icon, a speech bubble, will be displayed where the job has comments.

When clicked, the Comments tab and Job drawer display.

Drag and Drop

You can easily change the Job State by dragging a Job from one State to another directly on the Jobs Board.
