Multi-Person Review and Approval

If you want to use additional levels of review, where more than one person needs to review emails and documents, there are two additional Approval Levels and two additional Workflow Statues that you can use.

  • First Review
  • Final Review

These are only available if you have Advanced Workflow enabled in your Practice Settings. Refer to Managing Practice Settings for Documents.

For these additional levels and statuses, the following shows which Status can be selected in the Workflow section according to the Approval Level assigned to the user.

  • A user with Approval Level of First Review - can additionally select the workflow Status as "First Review".
  • A user with Approval Level of Final Review - can additionally select "First Review" or "Final Review".
  • A user with Approval Level of Approval - can additionally select the Status as "First Review" or "Final Review".
  • An FYI Admin can select any setting for Status.

Note: An "Approved" email can be sent by Users with any Approval Level. 

Who can edit a document with the Multi-Person Review

  • Users with Approval Level of Final Review or Approval - can edit the email or document in "First Review".
  • Users with Approval Level of Approval - can edit the email or document in "Final Review"

Example - Create a document that is sent for Multi-Person Review before being Approved

  1. User Creates Document
    User creates a document, sets the workflow Status to "Pending Approval" and selects the client's manager as the Approver.
  2. Manager reviews the document
    The manager reviews the document, sets the workflow Status to "Final Review" and selects the Partner as the Approver.
  3. Partner checks and approves the document
    The partner reviews the document and marks it as "Approved". The document can no longer be edited.

An alternative scenario to this would be where the manager performs a first review and then sends it to a second manager for the "Final Review" before it is sent for approval.

  1. User Creates Document
    User creates a document, sets the workflow Status to "Pending Approval" and selects the client's manager as the Approver.
  2. First Manager performs the First Review
    The manager reviews the document, sets the workflow Status to "First Review" and selects a second manager as the Approver.
  3. Second Manager performs the Final Review
    The second manager reviews the document and sets the workflow Status to "Final Review". The manager then selects the partner as the Approver.
  4. Partner checks and approves the document
    The partner reviews the document and marks it as "Approved". The document can no longer be edited.
