The Calendar Entry AutoFile is the Outlook Calendar App. This automatically imports and files client meetings from your users' Outlook calendars. They are created as Meetings in FYI. This allows your practice to automatically store a record of all client meetings.
The Calendar Entry AutoFile only imports calendar entries where the email address of an attendee in the calendar entry is a client email address. If the user has In Tray Review enabled, the calendar entries are added as Meetings to the user's In Tray.
Calendar Entry AutoFile is subject to the following rules:
- It is run retrospectively, importing calendar entries from the past 12 hours.
- The import processes twice a day, every 12 hours.
- It only imports and files calendar entries where the email address of an attendee in the calendar entry is a client email address.
- Email AutoFile needs to be enabled.
- The filing rules follow the same as Email AutoFile regarding In Tray Review. If the user has In Tray Review enabled, the Calendar Entries are added as Meetings to the user's In Tray.
An FYI Admin can turn Calendar Entry AutoFile “on” or “off” for your practice.
Editing the Calendar Entry AutoFile
- From FYI, click the Automation menu option.
- Go to the Apps tab.
- In Calendar Entry AutoFile, click the cog icon to edit the app.
- Click the toggle to On to enable the app. The page will automatically refresh.
Displaying Calendar Entry AutoFile Meetings
Calendar entries imported into FYI are created as Meeting records within the Documents List. To view only meetings synchronised from Outlook via the Calendar, apply the Source filter and select “FYI Calendar”.
