Displaying the Job Workspace

The Jobs Workspace is displayed when individual jobs are opened within FYI. Information is organised into tabs providing specific details and features related to the job, including Documents, Tasks, and Job Custom Fields.

Accessing the Job Workspace

The Job Workspace can be accessed in multiple ways:

  • From the Jobs List by clicking the Job Name or clicking the Open button in the toolbar.
     
  • From the Job Drawer by clicking the Open Job icon in the toolbar at the top.
     
  • In other Lists where the Job Name is displayed as a hyperlink e.g. Document or Tasks Lists.
     
  • Using Quick Access by clicking the down arrow next to the Jobs menu and selecting from one of the last 5 jobs viewed.
     
  • Using the Group/Client/Job Search in the menu bar at the top of FYI to search for a job. Refer to Group/Client/Job Search and Navigation.

Rearranging Job Workspace Tabs

The tabs can be rearranged by dragging and dropping them into your preferred order. The order will be retained when changing screens or logging out. Learn more about Changing the order of Workspace Tabs.

Job Workspace Tabs

Tab Details
Summary Provides a snapshot of the Job Details, and the ability to create records of Phone Calls, File Notes or Meetings. Users with the relevant permissions will be able to edit the job.
Custom Fields Displays the Job Custom Fields used to identify additional information about the job. These fields can be customised unique to each practice.
Documents
Tasks
Displays a list of Documents and Tasks specific to the job.
XPM Milestones
XPM Tasks

Displays a list of the XPM Milestones and XPM Tasks synchronised from Xero Practice Manager.

Note: These tabs are only displayed for practices on the Intermediate or Pro plan integrated with Xero Practice Manager, where Workflow Jobs are not enabled.

Comments Used to add and view questions, updates, and comments added relevant to the job.
Processes Displays a list of Automations and Custom Processes available to be run manually for the selected job.
Process History A history of any Automation Processes that have been run for the job. Users can click on a process to view further details about each step in the process.
Activity Displays an audit trail of changes made to the Job, including Custom Fields.
Billing Job
Workflow Jobs

Displays jobs associated with the current job.

When the Billing Job workspace is open, the Workflow Jobs tab will display a list of the associated Workflow Jobs. When viewing an individual Workflow Job, the Billing Job tab will display the details of the associated Billing Job.

If viewing the Job Workspace for a Standard job, neither tab will be displayed.

Time

Displays a list of time and disbursements added to the job. 

This tab is only available for practices on the Elite plan where FYI is selected as the Practice Management source, and for FYI Admins or users assigned a User Group with the View Timesheets permission enabled.

Invoices

Displays a list of invoices created for the job.

This tab is only available for practices on the Elite plan where FYI is selected as the Practice Management source, and for FYI Admins or users assigned a User Group with the View Timesheets permission enabled.
