The Mobile field on the Client - Summary tab can be updated in a variety of ways, depending on your settings in FYI.
Where FYI as Primary is enabled for Mobile and Salutation:
- The Mobile Number can be edited directly from the Client - Summary tab.
Where FYI as Primary is not enabled for Mobile and Salutation:
- Practices on the Pro plan will be able to edit the Mobile Number for the Primary Contact in Xero Practice Manager, or their integrated practice management platform. If a Primary Contact is not selected, the Mobile Number will be blank.
- Practices on the FYI plan will be able to edit the Mobile Number for the Primary Contact within FYI on the Client - Contacts tab. If a Primary Contact is not selected, the Mobile Number will be blank.
Updating the Mobile Number
Xero Practice Manager
In Xero Practice Manager, the client's phone number is held in the Client information.
The Mobile number is not part of the general information of the client, and will use the mobile number associated with the Primary Contact for the client.
Note: It's recommended to ensure a Primary Contact is selected in Xero Practice Manager. Without one, Xero Practice Manager will send the details of the first contact in the list.
Use the following to add the client's Mobile number in XPM:
- In Xero Practice Manager, click on Client's tab.
- Click + Add Contact on the right-hand side in Contacts.
The New Contact screen displays.
- Fill out the details in the 'New Contact' window.
Enter the client name as the Contact Name.
- Tick the check box to set the contact as 'Set as primary contact'.
- Click Save.
Note: You can leave the Phone Number blank as the phone number would already be held in the general information for the Client.
The information will automatically sync to FYI or can be manually synced. Refer to Synchronising Clients, Staff, Jobs, Time, Tax Returns with Xero Practice Manager and Running a Manual Sync with Xero Practice Manager and Additional Notes on Syncing.
Within FYI
On the Client - Summary Tab
To maintain this information directly in FYI, practices on the FYI Elite Plan may also wish to enable FYI as the Primary Source for the Client Mobile and Salutation fields. Refer to Enabling FYI as Primary Source for Client Data.
Once enabled, users belonging to a User Group with permissions to edit clients will be able to edit the Mobile directly from the Client - Summary tab. Refer to Editing Client Details.
In the Primary Contact details
If FYI is not enabled as the Primary Source for Client Mobile & Salutation, the Mobile Number is retrieved directly from the Primary Contact. Refer to Nominating the Primary Contact for a Client.
