The Client's Contact Name, Salutation, or Addressee is typically synchronised from your integrated practice management software, or from within FYI directly for practices on the FYI Elite plan.
This information, as well as information about the user creating the email or document, is brought into FYI emails and documents using Merge Fields. The Merge Fields are incorporated into Word Templates and Stationery, and Email Templates and Signatures. Refer to Including Merge Fields in Word Templates and Stationery and Including Merge Fields in Email Templates and Signatures.
Practice Sync Integrations
For integrations using Practice Sync, this information will be synchronised to your client in FYI and displayed on the Client - Summary tab.
Xero Practice Manager Integrations
For practices integrated with Xero Practice Manager, these details will be retrieved from the contact set as the Primary Contact in Xero Practice Manager.
- Open the client's name in Xero Practice Manager.
- Under Details Tab, click the + Add Contact link on the right panel.
- Add the client's name.
- Tick Set as primary contact.
Note: If this option is not ticked, the "Contact Name" on the Client - Summary tab in FYI will remain blank. Using the Contact Name merge field will also remain blank in documents and emails.
- Click + Add Salutation and Addressee.
- Enter the Addressee's name.
Note: If the Addressee field isn't set, Xero Practice Manager will use the Contact Name instead.
- Click Save.
- Manually sync Xero Practice Manager Clients and FYI.

Another way is to add a Custom Field in Xero Practice Manager called "Salutation" and then use the Word Merge Field layout for custom fields.

FYI enabled as Primary Source for Client Data
For practices on the Elite plan with FYI selected as the Practice Management solution, FYI will be automatically enabled as the Primary Source for Client Data. Practices can optionally enable the Client Mobile and Salutation option to maintain these fields directly in FYI. Once enabled, the Client Mobile and Salutation will not be synchronised with Xero Practice Manager.
Note: Consider your Xero Practice Manager integrations with other app providers before enabling this option.
Ensure the Practice Settings have been updated to enable the FYI Client Mobile and Salutation option. Refer to Managing Practice Settings.
For practices not integrated with Xero Practice Manager, this setting will be automatically enabled and hidden from view.
To update the Salutation, navigate to the Client workspace and click the Edit icon. Refer to Editing Client Details.
