Assigning users to jobs allows practices to efficiently manage workflow. Users can easily access their jobs from the Home - My Jobs list, and automation steps can be processed by selecting the assigned user, for example, automatically create tasks etc.
Xero Practice Manager or MYOB
For practices integrated with Xero Practice Manager or MYOB, users are assigned to jobs directly in your Practice Management software, and will be synchronised to the FYI "Assigned" field.
For all other practice management integrations using Workflow Jobs, Custom User Roles are available to assign jobs to users.
Using Custom User Roles
Jobs are assigned using Custom User Roles, mapped in the Practice Settings for Jobs. This functionality is available for practices on the Elite plan using FYI as Practice Management, or for practices integrated with a practice management system other than Xero Practice Manager or MYOB. Note: Practices on the FYI Pro plan must enable Workflow Jobs to use Custom User Roles. Refer to Legacy Workflow Jobs.
For practices integrated with Xero Practice Manager, assigned users are not synchronised from FYI.
Step 1 - Create Custom Fields for User Roles
"User" type Custom Fields can be used to create and assign Custom User Roles for a Client and/or Job, allowing practices to assign users to roles for the job. For example, Accountant, Bookkeeper, Team Coordinator, Supervisor etc.
To create a Custom Field:
- Log in to FYI as an FYI Admin.
- From FYI, click Settings in the top right-hand corner.
- Select Practice settings from the drop-down, then select General.
- Click on the Custom Fields tab.
- Click Add.
- Enter a Name for your Custom User Role. For example, Team Coordinator.
- For the Applies to field tick "Job" (more options can be selected if required)
- For the Type select "User".
- Click Save.

Step 2 - Update Mappings
The Jobs - Mappings settings will need to be updated to select the Assigned User Roles.
- Login to FYI as an FYI Admin.
- From FYI, click Settings in the top right-hand corner.
- Select Practice settings from the drop-down, then select Jobs.
- Go to the Mappings tab.
- Select the Custom Field from the drop-down. More than one Custom User Role can be selected.
- The selected Custom User Roles are displayed.

Step 3 - Update the Job Custom Fields
Individually
You can now assign users to the job from the Job - Custom Fields tab. This step can only be performed by an FYI Admin or a user with permissions enabled for Edit Custom Fields. Refer to Managing User Groups.
- In FYI, open a Job.
- Click the Custom Fields tab.
- Click the Edit Custom Fields button.
- Select a user for the mapped Custom Fields.
- Click Save.
- The Assigned field on the Job - Summary tab will be updated.
Bulk Update
In the Jobs list, you can use the Bulk Update to update the custom user role on selected Jobs. This step can only be performed by an FYI Admin or a user with permissions enabled for Edit Custom Fields. Refer to Managing User Groups
- In FYI, navigate to the Jobs List.
- If required, first filter the Jobs list to display the Jobs you want to apply the Bulk Update to.
- Select one or more Jobs in the Jobs list.
- Click the Bulk Update button in the toolbar. Bulk Update displays in the drawer.
- Apply to can be selected as the Jobs that have been selected in the Jobs list or as the filtered Jobs (if no filter has been applied, this will apply to all your Jobs).
- Select the Custom User Role from Set Custom Field. The field is added above this and shows as the field name. You are prompted to enter the value to set it to. For example, selecting the Custom User Role 'Team Coordinator' and selecting the team member name from the drop-down list.
You can add additional Custom Fields to be updated by the Bulk Update. Select the additional Custom Fields(s) and add the value to set for each.
