As we approached the end of another financial year for our Australian clients, this month we have continued developing new features and improvements to ensure our clients continue to achieve greater efficiencies when working in FYI.

For practices that have Workflow Jobs enabled, we were excited to announce this month that your Jobs List has been updated to include a new optional column, called Billing Job. Providing more visibility on what Billing Job is associated with your Workflow jobs, this new column includes a clickable link to the associated Billing Job's workspace. The Jobs List can also be grouped by the Client and Billing Job, to create a seamless view of all associated Workflow Jobs. To find out more, refer to Using the Jobs Lists and Grouping Jobs Lists

If Annature is your preferred digital Signature provider, we have introduced a new option to the Automation App settings to provide more flexibility on which data is automatically imported. You now can include the Certificate of Completion as part of the integration, by enabling the Import signing certificate setting in the Automation App settings. Refer to Integration with Annature for more information.

We continued this month to enhance the integration between various practice management systems:

  • For practices integrated with APS, the Contact Sync capability has been increased to populate additional contact information. The Contacts will be displayed on the Client - Contacts tab, allowing users to leverage this information direct from FYI. Refer to Synchronising Clients, Matters and Users with APS (Australia & New Zealand only)

  • For practices integrated with Xero Practice Manager, a new setting has been introduced to reduce the number of synchronisations performed when submitting time. The setting XPM Staff Allocation has been added to the Practice Settings General workspace. Refer to Managing Practice Settings.

    The XPM Staff Allocation setting has two options, "Explicit" or "Inherit from Job".

    • When set to Explicit, FYI will perform additional syncs to assign and remove the user when the time is submitted. By default, all current practices will have the "Explicit" setting enabled, to ensure that it matches existing sync behaviour.

    • When Inherit from Job is selected, a single sync will be performed to create the time entry. This option requires the user to be manually assigned to the Job in XPM prior to the time being submitted, and will become the default for new practices to FYI.

For practices on the Elite plan with FYI set as your Practice Management source, as FYI is your source for Time and Billing and time is not synchronised with XPM, this feature is not available.

Continuing with the Elite plan, it's amazing to find the Elite Plan has been active for practices for over three months now, and we continue to release new and improved features. For those practices that have upgraded to Elite, the following enhancements were made this month:

  • We have introduced Custom Time Rates to allow practices to configure time rates at Client and Job levels. Rates can be set from the Client - Settings and Job - Summary tabs. When using Workflow Jobs, the Custom Time Rate will be inherited from the Billing Job rate. Refer to Client Settings and Job Summary.

    It's important to note the time rate used is determined by a hierarchy: Client, Job, User. If both the Client and the Job custom time rate are set, the Client rate will take precedence. To ensure visibility, the rate source is displayed in brackets next to the name when creating a time entry. If you need to create a new rate, this can be selected before submitting your entry.   • You now have control over when your contacts will be synchronised to your Xero Ledger. The Update Contact Details in Xero option has been adding to Invoice Settings, allowing you to choose Never, Invoice Upload or Automatically. Refer to Managing Invoice Settings for more information on each of these settings.

  • You can now select a custom Invoice Email Address for your contacts. We've introduced a new option in Time & Invoice Settings, where a practice can choose to set a separate email address for sending invoices. Select from the default client email address or a Client Custom Field. This custom field must be set to "Email Type". This is ideal for practices where invoices are typically sent to the Bookkeeper, instead of the default client. Refer to Managing Invoice Settings
