This example Custom Process is designed for practices using New Collaborate and integrated with ATOmate.  

The Custom Process will auto-share documents from the 'ATOmate Collaborate' Cabinet into the Client’s Share folder, so clients can access and view these documents. 

This custom automation has been created by the ATOmate team, ready to be imported to use in your practice. Please contact the ATOmate team should you have any queries.

Before setting up this process, ensure that both ATOmate and New Collaborate integrations have been configured and activated in Automation - Apps. Refer to:

Setting up the Process

Step 1: Contact ATOmate to setup the 'ATOmate Collaborate' Cabinet

Contact the ATOmate team to have the 'ATOmate Collaborate' Cabinet automatically created via their API. Refer to ATOmate's Super User Guide here.

Important Note: We recommend restricting access to this cabinet to only FYI Admins, as it contains duplicate documents synced from the ATOmate integration. Refer to Managing User Groups. Additionally, consider updating any Document Views to exclude this cabinet so these duplicate documents are not visible to FYI Admins. Refer to Saving Changes to the View Layout, Modifying and Deleting Views.

Step 2: Create a Documents List View that will Trigger the Process

This runs the ATOmate Collaborate Upload process. A view will need to be created that will be used to trigger the Custom Process. For detailed information on these steps, refer to:

To create the Documents List View:

  1. Display the documents list and select the "All" view.

  2. Include the columns Source and Cabinet in the view.

  3. In the Source column, apply a Filter to select "ATOmate".

  4. In the Cabinet column, apply a Filter to select the "ATOmate Collaborate" Cabinet.

  5. ​Ensure the view only shows documents within the filtering applied.

  6. Save the view, for example ATOmate Collaborate Upload. Untick the Available For - List option so the view is available for Automations only.

Step 3: Importing this Custom Automation

Note: If you are using Chrome as your browser, the link may not automatically download the zip file. You need to right-click on the download link above, select Copy link address and paste it into a new browser tab in the browser's URL field.

When you have downloaded the file, you can import the Custom Process. Refer to Importing Custom Processes and Importing Custom Processes using Drag and Drop.

Testing and Running the Process

When setting up a Custom Process, it is very important to review and test it to ensure it is working as expected. You can test a Schedule Custom Process directly from the Process itself and this can be done while the Process is still "Draft".

Ensure that you have selected the Document View created in Step 2: Create a Documents List View that will Trigger the Process as the trigger.

  1. Click Test.
  2. The Select Test pop-up will display a list of documents and associated Clients based on the Filter that has been set up in the process.
    Note: A Test Client is handy for testing scheduled automations.
  3. From the Select Test, search and and select a specific Document to run the test for and click Run Test.

Set the Status of the Process to "Active"

When you are ready, set the Status of the process to "Active".

Scheduled Process runs Automatically

This example is a Scheduled Process. Once the Status is set to "Active", the Process will run automatically according to the schedule that was set. In this example, the process has been scheduled to run every hour.
