The Xero Ledger integration allows practices to integrate with Xero Blue to import and file client Xero Ledger reports (using the Client Ledger Reports AutoFile automation process), and if using FYI for Practice Management, synchronise invoices to the Practice Ledger.
For more details on the synchronisation refer to Synchronising Contacts, Invoices, and Client Ledger Reports with Xero Ledger
Using Xero Ledger
Client Ledger Reports AutoFile
The Client Ledger Reports AutoFile process runs a batch import of client Xero Ledger reports and automatically files them in FYI. This process is specific to a client and it has the Trigger set as "Manual" so will only be run when a user requests to run it.
To run Client Ledger Reports, this first needs to be connected at the practice level for the client via Automation - Apps to set the broad permissions. Once the connection has been made, the Ledger then needs to be directly linked to the client in FYI. This is done from the Client workspace via Client - Apps. Refer to Client Apps.
Synchronising Invoices to the Practice Ledger
When using FYI for Practice Management, you will need to first connect to Xero Ledger. If connecting to multiple organisations, you will be able to select which organisation is the Practice Ledger. This is the organisation where invoices created in FYI will be synchronised once they have been approved in FYI.
Important Note: If you are a multi-entity practice:
- The first Practice Ledger you connect will be the Chart of Accounts and Tax Rates imported from Xero and used in FYI.
- If you are practice migrating to Elite from a Practice Sync source such as MYOB, when you switch FYI as PM, Invoices synced to FYI will import to the first Practice Ledger you connect. It may be best to instruct them if they are multiple entity practice to connect only one ledger at this stage and advise the invoices from Practice Sync will be created in the ledger. They can then connect additional ledgers after the practice has completed migrating to FYI as PM.
For MYOB practices only, we recommend that only one ledger account is connected until the completion of your migration to FYI as PM. This will ensure invoices are migrated successfully to Xero Ledger. You may connect additional ledgers once you have enabled FYI as your PM.
Contact Names will be synchronised to Xero Ledger for non-individual Business Structures. The First and Last Names will be as per the Contact Field in FYI (separated using the first space in the name). If the Contact field is blank, the Name will be used instead.
Creating a Chart of Account in Xero Ledger (MYOB Practice Sync Only)
The following steps are applicable to practices who are moving to FYI for Practice Management, where their practice sync source was MYOB. You must ensure that a Chart of Account is created in Xero Ledger. This is mandatory to ensure that invoices synced from MYOB are exported to Xero once a Xero Ledger is connected.
The Chart of Account in Xero must be created with the following components:
- Code: 9999
- Name: Accounts Receivable Clearing (FYI)
-
Type:
- Category: Liabilities
- Account Type: Current Liability
If the Chart Of Account does not have the above details, invoices synced to FYI will not import to Xero Ledger and will be presented with a Sync Exception.
