Managing Practice Settings for Jobs

The Practice Settings for Jobs allow you to configure a variety of settings related to how jobs are used by your practice.

Displaying the Jobs Practice Settings

  1. Log in to FYI as an FYI Admin.
     
  2. From FYI, click Settings in the top right-hand corner. 
     
  3. Select Practice settings from the drop-down, and then select Jobs.

  4. The Practice Settings - Jobs - Settings tab will be displayed. The settings available will depend on your Practice Management source

Jobs Settings

Show Jobs by Client

This allows you to file documents either for a Job for the specific client, or for a job that exists for any client within the Client Group, for example when filing a document, or running a manual process for a client.

Show jobs by client Details
Ticked

Only jobs for the specific client are listed.

Elite plan with FYI as the Practice Management Source
When creating a Workflow Job, only Billing jobs for the selected client will display.

Not Ticked

All jobs for all clients in the Client Group are listed.

If the client does not belong to a Client Group, when selecting a Billing Job for a Workflow Job, FYI will show either the Billing Jobs for the currently client only (in the Job Workspace) or allow the user to search for jobs for all clients (in the Jobs Bulk Update).

Job Cabinet Security

This controls whether or not a Cabinet can be selected in a Job. This allows Cabinet security to be set on Jobs. Users only have access to those Jobs for the Cabinets to which they have been given access via the User Group they belong to. Refer to Managing User Groups and Editing Jobs from the Job Drawer.

XPM Workflow Jobs

Plan Availability: Pro Plan

This field is relevant to practices on the Pro plan integrated with Xero Practice Manager. Practices on the Elite plan will have access to Workflow Jobs immediately, and this setting will not be displayed.

When the XPM Workflow Jobs setting is enabled for your practice, Tasks that are set up for Jobs in Xero Practice Manager are synced to FYI and are created as Workflow Jobs, "sub-jobs" within the overall Job.

Note: Once enabled, XPM Workflow Jobs cannot be disabled. A prompt will be displayed to confirm you wish to proceed. Click Yes to enable the setting.

Refile Clients with Job

Plan Availability: Elite Plan

The Refile Clients with Job option is available to practices on the Elite plan with FYI selected as the Practice Management source

When refiling a Workflow Job to a new Billing Job, this setting determines whether the Workflow Job’s client is updated to match the new Billing Job or remains unchanged.

If enabled, all time entries, disbursements, and tasks related to the Workflow Job will also be moved to the new Billing Job client. Documents will also be refiled, unless shared via Collaborate or are currently being edited internally or co-edited externally.
