Manually creating a SharePoint Site for New Collaborate

New Collaborate offers the ability to create a new SharePoint site automatically, however, if you wish to manually create a new SharePoint Communication site prior to upgrading from Legacy Collaborate, you will need to follow the instructions below.

Note: You will need to have created a SharePoint Communication site at least 24 hours before configuring the permissions to ensure the site has had time to propagate.

Create a SharePoint Communication Site

New Collaborate uses SharePoint communication sites to share documents securely with your clients. To setup a communication site for use with New Collaborate:

Access the SharePoint Admin Centre as a Microsoft 365 Administrator:

  1. Open the Microsoft 365 admin center.

  2. From the menu on the left, click Show all.

  3. Select SharePoint.

  4. The SharePoint admin center will open.

  5. In the menu on the left, click Active sites.

  6. Click Create

  7. Select Communication Site from the prompt.

  8. From the Select a Template window, select a template to best suit your practice, and then click Use Template.

  9. Set the Site Name. This name will be displayed on the site, and visible to your clients.

  10. Set the Site owner to your Practice OneDrive Admin user.
  11. Click Next.

  12. Click Create Site.

The site may take up to 24 hours to fully populate in Microsoft 365's lists. Once the site is created, continue with the next steps to ensure the site is configured to allow for external sharing

Configuring External Sharing Permissions

  1. Open the Microsoft 365 admin center.

  2. From the menu on the left, click Show all.

  3. Select SharePoint.

  4. The SharePoint admin center will open.

  5. In the menu on the left, click Active sites.

  6. Locate the SharePoint site created previously and click on the name of the Site to open the Properties drawer.

  7. Click Settings.

  8. Ensure External file share is set to New and existing guests
  9. Click Save

Configuring the Collaborate App

Once the site has been created, and you are ready to implement New Collaborate, proceed to Set up and Create a New Collaborate Site (New Sites only). When configuring the New Collaborate app, you can select your new SharePoint site from the Collaborate Site drop-down.

After New Collaborate has been configured, run the Status Check to confirm the site has been configured correctly. Refer to Troubleshooting New Collaborate using Status Check.
